We are seeking a highly motivated and organized individual to join our GBGH Crew as an** Administrative Assistant for the Support Services Team**. This role presents a dynamic opportunity to provide crucial support across various hospital operations, including coordinating meetings, managing schedules, and facilitating effective communication. If you are a driven and talented administrative professional eager to make a meaningful impact in the healthcare sector, we invite you to join our team at GBGH. This position will report to the Director of Finance and support leaders in Environmental Services, Facilities, Finance, Food Services, Health Records, Registration, Switchboard, and Security. You will be joining an Administrative Professional Team of two Administrative Assistants and three Executive Assistants.
**KEY ACCOUNTABILITIES & RESPONSIBILITIES**
Your key responsibilities will include, but are not limited to:
- Coordinating meetings, including the generation and distribution of meeting minutes.
- Providing project management assistance to leaders and contributing to the development of memorandums and incident management.
- Coding of invoices within our invoice automation system.
- Submitting of purchase order requisitions.
- Offering clerical support for policies & procedures, distributing correspondence, and assisting in departmental meetings.
- Acting as a primary point of contact for internal and external stakeholders, overseeing travel arrangements, and coordinating educational events.
- Supporting the management team with all administrative requests.
- Assisting in the development and implementation of department-specific yearly goals/objectives and formalizing in a workplan with follow up on action items.
- Preparing presentations and various correspondence.
- Undertaking additional duties as needed to support the team.
Job Requirements:
**QUALIFICATIONS & EXPERIENCE**
- A college diploma in Office Administration, Business, or a related field, providing a solid foundation for success or significant demonstrated experience.
- A proven track record of two to three years in administrative roles, with a preference for experience within either the healthcare sector or a similarly complex work environment.
- Meticulous attention to detail, a strong ability to prioritize and an ability to balance different needs and styles of various leaders.
- A commitment to upholding confidentiality and handling sensitive information with the utmost discretion and professionalism.
- A deep alignment with the values and purpose of GBGH, demonstrating a dedication to fostering a culture of excellence.
- Experience in committee management, adeptly facilitating meetings and creating effective agendas.
- A track record of excellent work performance and attendance, reflecting a strong commitment to professional excellence.
