Position Summary:
Reporting to the Finance Manager, the Financial Administrator has the primary responsibility to oversee research fund transactions and processes at the Schulich School of Music. The incumbent also manages financial processes of other fund types - operating and restricted, and has the responsibility to monitor and guide the School’s units in financial matters.
Primary Responsibilities:
- Provides assistance to the Finance Manager in the financial operations of the Schulich School of Music- Performs and organizes activities to support the daily operations of the Finance area and Dean’s Office, ensuring that services are carried out in accordance with established goals and objectives.- Provides trainings and directions to staff on financial processes. Monitors transactions to ensure accuracy and compliance with the University’s policies and procedures.- Manages the Senior Accounts Administrator position. This includes the performance management and ensuring deadlines are met and procedures are followed.- Assesses and resolves problems. When appropriate, informs supervisor and formulates recommendations. Implements procedures to improve efficiency and future training.- Manages financial processes such as opening funds, journal entries, advances, requisitions, payrolls & appointments, expense reports, payment requests, supplier invoices and procurement card purchases.- Monitors and reports discrepancies on fund expenses and deposits.- Determines and processes appropriate year-end financial transactions.- Assists the Finance Manager in the preparation of standard and complex reports.- Ensures appropriate implementation of decisions made by the Finance Manager. Reviews any outstanding items and follows up.- Maintains and organizes the filing system for documents within area of activity as well as being responsible for archiving all financial files.- Maintains computerized information systems and participates in their development to improve efficiency within the unit.- Attends meetings and monitors follow up.- Maintains proficient knowledge in policies, relevant systems and tools- Participates in special projects and other tasks as needed.
Other Qualifying Skills and/or Abilities:
- Previous experience in accounting, budget procedures and financial research administration.- Demonstrated financial analytical skills.- Demonstrated ability to troubleshoot, solve problems, take initiative, prioritize and work well under pressure to meet deadlines.-
- Must be service oriented. Proven ability to work autonomously and as part of a team.- Demonstrated knowledge of University administrative policies and procedures.- Proven ability to communicate well with staff at all levels, especially Principal Investigators and relevant McGill units, often involving investigation and problem solving.- English, spoken and written. French, spoken and read. French written an asset.
