Responsibilities:

- Supervise and manage office staff, ensuring smooth daily operations
- Coordinate and manage schedule arrangements for staff and the clients (including overseeing staff vacation schedules, arranging substitutes, and liaising with parents).
- Verify the timesheets
- Complete, process, and organize documentation with precision
- Maintain and verify client lists to ensure current and accurate information.
- Design and update the flyer formats as needed to effectively communicate with our community.
- Conduct inventory checks to maintain essential supplies for our center's daily operations.
- Follow up on client intakes, providing a welcoming onboarding experience.
- Engage daily office work with a proactive and organized approach.
- Maintain our social media presence to connect with families and the wider community.
- Ensure secure access for early drop-offs and late pick-ups and supervise the learners.
- Manage and verify registration process with completeness and accuracy.
- Track packages, ensuring resources arrive as expected.
- Frequently communicate/discuss with the director about anything that is not clear
- Send reminders for special days, contributing to our center’s vibrant culture.
- Maintain a clean and welcoming office environment

Qualifications:

- Experience as an Office Administrator or similar role is preferred, but not required if you meet the requirement below.
- Proficiency in MS Office and Google Drive.
- Strong organizational skills with attention to detail.
- Excellent communication abilities, both written and verbal.
- A high school diploma is required; further qualifications in Administration are a plus.
- Respect everyone's confidentiality/professional boundaries.
- Must not know anyone already working at WYABA or who is client at WYABA
- Willingness to commit at least 1 year upon hiring
