**Responsibilities**
Provides confidential administrative, clerical and secretarial support, including producing a variety of highly confidential correspondence, memos, presentation materials; receiving incoming calls, responding to routine inquiries or redirecting calls to appropriate staff member; maintaining employee information; developing and maintaining the confidential file storage and records management system; and opening, reviewing and sorting mail. Arranges meetings as instructed, prepares agendas, distributes reference materials, and records minutes. Assembles and compiles data and prepares reports. Monitors expenditures, processes departmental invoices and expense claims/receipts. Provides administrative support to projects as requested.
**Qualifications**
Education & Experience:
The competencies for this position would typically be acquired through successful completion of Grade 12 and post-secondary courses in office administration and procedures. 2 Years prior administrative experience in a unionized environment, requiring a high degree of confidentiality.
**Other Requirements**
- Strong interpersonal skills including tact and diplomacy
- Good verbal and written communication skills
- Basic analytical skills to gather and input data into databases
- Strong organizational skills
- Proficiency on all office software, including word processing, spreadsheet, presentations, as well as web-based HRIS systems
**Conditions of Employment**
Applicant will be required to possess or have the ability to obtain and maintain enhanced security clearance.
