**Position Summary**:_Performs administrative service activities that support the needs of customers in the office environment._ #LI-Onsite #LI-TN1
**Position Responsibilities**:
- Requirement to be in the office 5 days per week.
- Manages business centre by opening/sorting in-coming mail and courier packages; process all outgoing mail and courier packages; notifies associates when courier packages are available for pick up; orders and stocks supplies.
- Operates mailing machine including troubleshooting and maintaining appropriate funds.
- Troubleshoots issues with UPS and ensures sufficient supplies are available.
- Order and stocks coffee stations with Coffee/supplies.
- Supports HR with onboarding process by maintaining online distribution list, access card activation/deactivation and locker assignment at head office.
- Ensures copier stations are adequately stocked with the appropriate supplies.
- Accounts Payable - PO/Inspyrus Management.
- Maintains BCOSCAR mailbox and webpage - Office Services & Support System for office-related issues - including National Program.
- Receives business card requests nationally and forwards to appropriate Vendor.
- Liaises with Property Management on building-related issues.
- Provides support with Vendors attending Head Office (pest control, security, Cintas, Iron Mountain, HVAC).
- Schedules trades when appropriate and schedules regular maintenance on HVAC equipment.
- Back-up administrator for Condeco the online Booking Tool.
- Provides support with Record Retention/Shredding Program.
- Provides support with Vendor Management.
- Meeting room maintenance/set up for townhall and large meetings.
- Joint Health & Safety Committee Member representing the Facilities Team at Head Office
**REQUIRED EXPERIENCE AND EDUCATION**:
- High school diploma and a minimum 2 years’ office experience.
**REQUIRED SKILLS AND KNOWLEDGE**:
- Working knowledge of Microsoft Office, Excel and Word
- Working knowledge of Share Point
- Excellent interpersonal and oral communication skills
- Ability to work with multiple tasks, noise and interruptions
- Knowledge of the Company and the organizational structure
- Ability to operate basic office equipment
- Able to Lift 10-40lbs of boxes/deliveries
- Occasional lifting-pushing-pulling/moving of carts
- Good organizational skills and the ability to work within tight deadlines
- Must be able to work in a team environment
- Knowledge of Oracle is an asset.
