Working under the direction of the Associate Dean, Graduate Education, the Graduate Administrator and the Registrar you will be responsible for providing administrative and program support for graduate students and Faculty members by responding to inquiries related to the graduate program and assisting with graduate admissions, student funding, examinations and graduate student events.

**Your responsibilities will include**:

- Acting as the first point of contact for general/student enquires, including student record information.
- Disseminating program materials to prospective students and applicants. Organizing student orientation material.
- Providing detailed information regarding admission requirements to prospective students and applicants.
- Determining logístical details required for the execution of admissions processes including scheduling interviews and auditions.
- Checking completeness of admissions documentation; Collecting supporting documentation required for records and enrollment processing.
- Updating website and Sharepoint information related to graduate programs.
- Providing detailed information regarding financial awards (e.g., SSHRC, OGS, Travel Awards). Preparing and circulating files to financial awards committees.
- Creating and updating Teaching Assistant (TA) job postings; Tracking TA hiring decisions and preparing TA contracts using templates; Verifying that TA contracts meet collective agreement requirements.

**Essential Qualifications**:

- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum two years recent and relevant experience in the registration/admissions area within a high volume, client service post secondary environment.
- Experience working directly with prospective and current students to provide program and student services information, including admissions, registration, course enrollment, degree requirements and awards.
- Experience providing administrative support in an academic student services department providing information to students and faculty members with respect to related policies, programs, and procedures.
- Experience updating, maintaining records and ensuring accuracy, including student records.
- Demonstrated experience working with databases and preparing reports
- Experience with Quercus, Blackboard, ROSI, ROSI Express, eMarks, or similar related systems to enter data, retrieve information, and generate reports.
- Computer proficiency with intermediate knowledge of and experience with MS Office suite, including SharePoint.
- Experience maintaining/updating websites.
- Ability to prioritize competing demands and work well under pressure and meet deadlines.
- Attention to detail and a high degree of accuracy.
- Experience working effectively, professionally and personably with an international and diverse pool of students, applicants, faculty and staff.
