**JOB SUMMARY**

The Sales Operations Coordinator is a pivotal role that bridges customer service, sales operations, and marketing support. This multifaceted position is responsible for ensuring efficient event coordination, providing invaluable support to the sales team, aiding marketing initiatives, and executing various administrative functions crucial to the company's smooth operation.

**MAJOR RESPONSIBILITIES**

**Customer Service**:

- Act as a backup for call support, ensuring customers' needs are met.
- Offer seamless website support to address customer inquiries and update the Clinic Locator as needed.
- Provide real-time support through live chat on the company's website, assisting customers with inquiries, product information, and support requests.
- Handle inbound customer service calls, resolving issues, answering questions, and ensuring a positive customer experience.
- Collect and analyze customer feedback and conduct surveys to gauge customer satisfaction and gather insights for improving services.
- Proactively provide customers with order status updates, tracking information, and delivery schedules.
- Assist customers in processing returns, exchanges, and warranty claims, ensuring a smooth and efficient process.
- Offer basic technical support to customers, guiding them through troubleshooting steps or directing them to the appropriate technical support resources.
- Address and resolve customer complaints or issues effectively, ensuring customer retention and satisfaction.
- Stay updated on product knowledge to provide accurate information to customers and address their product-related inquiries.
- Create and maintain a library of educational resources for customers, such as FAQ documents, guides, and video tutorials.
- Utilize the CRM system to track customer interactions, maintain detailed customer profiles, and provide personalized support.
- Assist customers in customizing their orders, helping them select the right products and configurations to meet their needs.
- Handle billing inquiries, address payment-related issues, and assist with invoice discrepancies.

**Sales Support**:

- Collaborate closely with the Director of Sales to facilitate and improve the sales training process.
- Provide timely support for distributor inquiries, including generating and providing quotes.
- Prepare and issue certificates to participants upon successful completion of training and maintain accurate records in Salesforce for training and webinar attendees.
- Maintain a comprehensive Excel document to track event attendance.

**Marketing Support**:

- Collaborate with the marketing team to strategize, plan, and execute marketing events, including product launches, trade shows, seminars, webinars, and promotional campaigns.
- Oversee the logístical aspects of events, including venue selection, catering, AV equipment, transportation, signage, and accommodations.
- Assist in developing event budgets, negotiate with vendors to obtain cost-efficient solutions, and monitor expenses to ensure events stay within budgetary constraints.
- Create, distribute, and maintain event materials such as invitations, brochures, posters, and digital content.

**Distributors**:

- Provide exceptional support to distributors by promptly addressing inquiries and providing necessary information.

**Office Support**:

- Oversee various administrative tasks, including greeting visitors, directing phone calls, and ensuring the smooth operation of the office.
- Manage office supplies inventory and place orders as necessary to maintain an efficient workplace.
- Collaborate with property management and janitorial services to ensure a well-maintained office environment.
- Tackle any other office-related tasks as required to ensure seamless operations.

**QUALIFICATIONS**
- A Bachelor's degree in business or a related field is preferred.
- Previous experience in customer service and sales support roles is advantageous.
- A dedication to delivering outstanding customer service is a core requirement.

**SKILLS**
- Proficient in juggling multiple tasks and responsibilities effectively.
- Strong skills in coordinating with various vendors and ensuring smooth operations.
- Exceptional communication skills for liaising with different departments and addressing customer inquiries.
- Exceptional attention to detail and strong time management abilities.
- Proficient in Salesforce and the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).
- Strong writing, editing, and proofreading skills.
- A collaborative spirit with a high level of dedication to the role.
