Property Management Administrative Assistant

We are seeking a highly organized and proactive individual to join our team as an Administrative Assistant in Property Management. This role requires a versatile professional who can provide exceptional administrative support to our real estate operations while also assisting the President with personal tasks.
**Key responsibilities**:
- Assist in managing commercial and industrial properties, including office spaces, retail spaces, and warehouses.
- Coordinate property inspections, maintenance, and repairs.
- Assist in negotiating leases, contracts, and agreements.
- Collect and analyze data on property performance and market trends.
- Maintain accurate property files, databases, and documentation.
- Conduct property visits, address tenant inquiries, and foster positive relationships.
- Serve as primary point of contact for tenants, addressing inquiries and concerns.
- Assist with tenant onboarding and move-in/move-out processes.
- Coordinate tenant communications and rent collection.
- Assist with lease administration activities and maintain lease files.
- Track lease expirations and critical dates for proactive management.
- Process lease-related documents.
- Assist in preparing budgets and monitoring operating expenses.
- Coordinate with accounting personnel to track rent payments.
- Manage President's schedules and travel arrangements.
- Organize and maintain files and records.
- Ensure office cleanliness and organization.
- Review, proofread, and translate documents.
**Qualifications**:
- Bachelor’s degree or equivalent; real-estate certification a plus.
- Proven experience in administrative or personal assistant roles.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent verbal and written communication skills. (French and English)
- Proficient computer skills, including MS Office suite.
- Detail-oriented with a high level of accuracy in data entry and documentation.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility to adapt to changing priorities and work independently.
**Salary**: $50,000.00-$70,000.00 per year
