**WHAT YOU WILL DO**
As our Real Estate Administrator, you will provide assistance on multiple projects which are being developed and facilitated at any one time. This position will provide analytical, administrative, and operational support services to the General Manager, Real Estate Development and to the Lands Team.
**RESPONSIBILITIES INCLUDE**:
- Administrative support for the department, which include:
- Responsible to set up and manage meetings/schedules for department leadership
- Create and implement spreadsheets for various projects
- Record management (e.g., organizing project documentation in a digital database)
- Coordinate with supply chain on purchase orders and accounting for accounts payable items
- Complete expense claims for Director/General Manager
- Lease administration duties including:
- Preparing reports and correspondence for leaders in support of leasing activities
- Input land leases into The Authority’s property management system and collaborate with other departments to validate and update information as required.
- Maintain tenant lists and assist with collection and filing of supporting leases
- Assist with monitoring accounts receivable collection process and provide notices to appropriate parties when necessary
- Support the accounting team with tenant billing related items
- Track and administer tenant insurance documentation
- Assist in delivering concierge-level customer service to existing and prospective tenants
**WHAT YOU BRING**
- 3-5 years administrative experience in commercial real estate and/or equivalent
- Familiarity with lease documentation and lease compliance. Property management and associated accounting and budgeting background would be considered an asset.
- Ability to use various conventional computer software (office 365) and real estate accounting software (i.e., Propworks, Oracle, Yardi)
- Transcribing and editing with accuracy and attention to detail
- Office management (workflow; inventory ordering, sourcing special orders)
- Technical and business writing skills; editing; proofing; data base record maintenance
- Strong organizational skills and customer service oriented
- Ability to multitask with competing priorities
- Excellent interpersonal skills
