**Job Summary**

We are looking for an experienced and detail-oriented individual, knowledgeable about the Alberta real estate industry, to join our amazing and growing administrative team at Real Estate Professionals Inc. as our Conveyancer & Communications Coordinator.

**Responsibilities**

**1. **_Review and Analyze Realtor Listings_
- Analyzing Realtor listings and other relevant paperwork for correctness and accuracy
- Communicating with clients, real estate agents and/or members of the general public to receive instructions and give guidance, as required
- Researching details about the property being bought or sold to confirm whether additional information or paperwork is required (ex: title searches, reviewing registrations, reviewing POAs for correctness)
- Ensuring proper import/upload of listing paperwork to the relevant platform(s) (i.e. Transaction Desk)
- Checking, reviewing, correcting, and advising clients/agents of any issues with listing paperwork along with appropriate follow ups to ensure all fixes are made and revised documents are uploaded/submitted in a timely fashion
- Drafting official documents
- Working with assisting real estate agents, as needed, to ensure their listings are approved
- Carrying out checks prior to submitting any paperwork to other brokerages, members of the staff, solicitor offices, and to other applicable members of the public
- Ensuring confidentiality of all paperwork is maintained in a proper manner

**2. **_Assist Conveyancing_
- Reviewing contracts to ensure completeness and accuracy
- Generating conveyancing packages and sending the same to legal counsel
- Invoicing brokerages
- Coordinating with accounting to ensure excess deposits are generated and mailed/couriered out
- Coordinating with accounting to ensure deposits are forwarded in a timely fashion with pertinent information

**3. **_Receive Visitors_
- Greet visitors politely
- Determine visitor needs in a professional manner
- Direct visitors to correct person

**4. **_Answer Phone Calls_
- Answer and address incoming phone calls in a timely and polite manner
- Clearly determine the purpose of the call
- Deal with queries and provide the correct information
- Forward calls to the appropriate person
- Take and deliver messages accurately and completely

**5. **_Manage Mail, E-Mail, Couriers and Deposits_
- Handle and process cheque deposits accurately, ensuring timely submission to the office accounting department, proper record-keeping, and providing receipts
- Prepare outgoing mail for pick-up or courier
- Organize courier deliveries

**6. **_Clerical_
- Photocopy and collate documents
- Fax documents
- File documents accurately
- Monitor, control and order office supplies, as needed

**7. **_Organize Meetings and Company Events_
- Book meeting rooms for our associates
- Set up meeting room with necessary stationery and equipment
- Assist with coordinating company events with third party vendors

**8. **_Support_
- Prepare correspondence and documents
- Update databases
- Organize mailings
- Prepare and maintain spreadsheets
- Schedule and follow up on matters

**9. **_Reception Area Maintenance_
- Keep reception area clean and neat
- Keep desk area clean and neat

**Job Requirements**
- Proficient in Microsoft Office Suite
- Proficient in Transaction Desk and Lonewolf Back Office
- Proficient in Mailchimp and Canva preferred, but not required. Training will be provided
- Knowledgeable about Realtor listings
- 1-2 years prior experience in an administrative role is preferred
- Strong verbal and written communication skills
- Customer service oriented
- Ability to work well in a team environment but also independently
- Ability to communicate, follow instructions and think creatively to solve problems

**Job Types**: Full-time, Permanent

Pay: $40,000.00-$55,000.00 per year
