The Professional Institute of the Public Service of Canada, a national union representing some 70,000 professionals and scientists throughout Canada, requires a **Translation Coordinator** for its National Office.

**What can I expect to do in this role?**

Under the supervision of the Manager, Corporate Services and the functional guidance of the Team Lead, Translation, the Translation Coordinator interfaces with internal stakeholders (employees, elected officials, members), translators and external service providers to coordinate the timely intake, assignment, tracking and processing of translation requests including through the use and administration of translation management systems and related tools.

Major responsibilities include:

- Liaise with stakeholders to triage translation requests, establish requirements (e.g. urgency, confidentiality, format), obtain reference materials, set/negotiate timelines and provide regular updates on work status.
- Prepare documents for translation including text pre-translation using translation software tools, resolve formatting issues and help ensure requests comply with Institute policy and procedures.
- Distribute assignments to internal translators and external service providers in a timely fashion with relevant documentation in accordance with the established assignment matrix and respond to questions/issues to facilitate the work.
- Perform post-translation tasks including, among others, document formatting, assisting with quality control checks by proofreading and identifying anomalies in translated documents in both official languages; consolidating translations and revisions.
- Utilize the translation management system and related tools to manage, store and maintain the translation work and reference materials.
- Administer all aspects of the translation management system (TMS) and tools and provide support to other system users (i.e. translators and Team Lead) as the system Super User. Identify, evaluate and recommend the use of system features, configurations and facilitate system updates.
- Develop and maintain Institute-specific system user guides, training materials, templates and configurations, including workflow and documentation. Train and provide guidance to stakeholders on the use of translation tools and processes.
- Maintain TMS content integrity and quality by performing cross-reference validation and other quality assurance processes. Contribute to translation uniformity and the minimization of retranslations by maintaining a complete translated work database in a consistent and system accessible format.
- Input and update statistical information; produce, customize, extract reports and perform ad-hoc analysis from translation databases. Create macros and templates and produce standard forms to eliminate repetitive tasks and continuously improve operational efficiency.
- Review invoices for completeness and accuracy, follow up on errors and corrections, escalate issues to the Team Lead and input into the payment system.
- Assist and inform stakeholders on Institute language usage and vocabulary norms and by performing terminological research.
- Perform Translation Service intranet and other platform content updates.
- Collaborate in multi-disciplinary teams assigned to special projects and work collaboratively with employees in other sections.

**Required Knowledge, Skills and Abilities**:
The Translation Coordinator requires:

- Knowledge of the Professional Institute’s organization and structure
- Knowledge of the translation environment
- Strong organizational and administrative skills and attention to detail
- Ability to assist with text analysis, pre-translation, referencing and post-translation processing
- Ability to guide and assist co workers on the use of translation tools
- Ability to format documents to ensure that translations have the same presentation and formatting as the source texts/documents;
- Basic mathematical skills to prepare statistical reports and verify invoices
- Strong problem solving ability to resolve day-to-day operational issues with stakeholders and escalate with recommendations to Team Lead
- Advanced English and French language skills (written and comprehension)
- Good customer service skills

**How do I qualify?**
- Completion of a related one-year community college certification program.
- Two (2) to three (3) years’ experience in performing administrative duties, or an equivalent combination of education and experience.
- Fluency in both official languages (French and English) **is required.**
