SUMMARY

The Supplier Training & Communications Coordinator is primarily responsible for the development and delivery of training programs for suppliers as well as managing communication channels ensuring effective dissemination of information to suppliers. This involves designing, developing, and updating training materials to ensure relevance, engagement, and alignment with organizational goals. Collaborating with internal stakeholders, particularly IT development, the Supplier Training & Communications Coordinator seamlessly integrates necessary updates into training materials and provides feedback on usability & functionality. Conducting training sessions in both English and French, whether in person, virtually, or through recorded presentations, ensures clear communication and understanding.

With a proactive approach to continuous improvement, this position drives excellence in supplier training and communication strategies, ultimately aligning with the organization's strategic objectives. The Supplier Training & Communications Coordinator crafts supplier communications with clarity, consistency, and cultural sensitivity, coordinating translations for bilingual accessibility. As transition navigators, they guide suppliers through changes, providing essential support and training.

KEY RESPONSIBILITIES AND DUTIES

Supplier Training:

Design, develop and support training materials and programs for our suppliers, ensuring content is relevant, engaging, and aligned with organizational goals. Work with internal stakeholders, including IT development, to capture and support required changes or updates to existing training material for our suppliers Update training materials as needed to reflect changes in processes, technology, or regulations. Deliver training sessions in both English and French either in person, virtually, or through recorded presentations, ensuring clear communication and understanding Maintain a training calendar to schedule and coordinate training sessions for suppliers Support communication and administration of training schedules and invitations to suppliers, ensuring attendance and participation Provides support in preparing storyboards, recording and editing internal videos. Develops strong working relationships and partners with colleagues throughout the organization who serve as content or source subject matter experts Maintains and manages the annual calendar of supplier communications, ensuring alignment to priorities and consistency in messaging.

Communications

Develops and supports regular communications to suppliers, including updates, announcements, and reminders  Assist with writing, editing and crafting supplier communications for various purposes ensuring consistency and adherence to the corporate style guide and ensuring communications are clear, concise, and culturally sensitive, particularly for bilingual audiences. Coordinate the translation of training materials and communications as needed to accommodate bilingual suppliers Work with translation vendors or internal resources to ensure accurate, cost-effective and timely translations Supports communications initiatives for Supplier Town Halls, cross-client supplier communications, Supplier Newsletters, etc, coordinating with various business units as required, make recommendations on key messaging. Provide support with and coordinate various stakeholders writing, editing, creating presentations, graphics/posters, supplier newsletters 

Transition Support

Assists in managing supplier transitions, including onboarding new suppliers / system setup Ensure suppliers have the necessary training and support to navigate any transitions smoothly.

Development & UAT Support

Provide support during user acceptance testing (UAT) for new systems or processes impacting suppliers. Coordinate with suppliers to gather feedback and address any issues identified during testing.

Templates and Presentations design

Designs & creates clear, visually impactful PowerPoint presentations for use with supplier messaging / training as needed. Creates visually appealing materials, presentations and templates

Intranet 

Regularly update and upload content on the internal website. 

Other 

Special Projects as assigned. Other duties as assigned.

KNOWLEDGE AND SKILLS

College Diploma/University Degree or equivalent in a related field or equivalent work experience. Fluency in both English and French, both written and verbal Strong communication skills, both written and verbal, with the ability to tailor messages for diverse audiences. Experience in training development and delivery, preferably in a supplier or vendor management context considered an asset Excellent organizational skills with the ability to manage multiple tasks and priorities effectively. Proficiency in Microsoft Office Suite (Word, Excel, Teams). Superior Microsoft PowerPoint skills. Superior writing and editing skills. Knowledge and experience with updating Internal websites (Sharepoint platform) considered an asset. Intermediate graphic design skills and familiarity with InDesign, Illustrator, Photoshop considered an asset. Intermediate video editing skills and familiarity with PremierePro, Canva or else considered an asset. Ability to manage large, complex integrated communications programs and projects. Solid understanding of communications and training principles and best practices. Excellent relationship-building, teamwork and collaborative skills. Strong interpersonal skills with the ability to work independently and within a team environment. Strong planning, project management and organizational skills.
