NATURE OF THE WORK
- The Coordinator is a senior manager responsible for the supervision of technical and administrative activities of this key sector in the Facilities Management department.
- Under the authority of the Director of Facilities Management, the Coordinator is responsible for the management (planning, organization, direction, control, and evaluation) of the following sectors: Audio-Visual services, bookstore, facilities rental, food services, mailroom, sports facilities, printshop, purchasing, room bookings, shipping/receiving and telephone systems.
- RESPONSIBILITIES
- Management- Oversees the day-to-day operation of auxiliary services;
- Oversees the operations (staffing, inventory, budget, marketing strategies, etc.) of the College bookstore;
- Oversees facility rentals including contract and lease negotiation, promotion, scheduling and control while minimizing the impact on regular College operations;
- Coordinates and supervises the work of employees assigned to manual and administrative activities in the sector;
- Provides support to, trains and evaluates employees in the sector;
- Supervise the work and provide support to employees of auxiliary services;
- Supervises the activities related to the procurement process of goods, services and construction projects at the college;
- Provides support to projects involving acquisition of furnishings;
- Analyzes, evaluates and makes recommendations on all equipment requests through the College’s capital budget system;
- Integrate sound customer service practices to enhance its overall quality.
- Support the members of their team in their development and assess the needs for training and enhancement;
- Participate on hiring committees, inform newly hired personnel of their mandates, greet and assist in their integration into the work team, assign tasks and carry out the evaluation of their performance;
- Determine human, financial, and material resource needs and make recommendations to their superior;
Auxiliary Services- The incumbent, with the assistance of procurement professionals, oversees procurement process of the college, coordinates the process of drafting tendering documents, and ensures laws and regulations governing procurement of goods, services and construction contracts (Electronic tendering system, Act respecting contracting by public bodies, Regulation respecting construction contracts, Règlement sur certains contrats d'approvisionnement des organismes publics, Règlement sur certains contrats de services des organismes publics, etc.) as well as internal policies, regulations and procedures of the college are respected;
- Acts as Emergency Measures Coordinator during on-site crisis management;
- Plan, Administers the distribution of all College furnishings;
- Responsible for the inventory of capital assets and the appropriate sale or disposal of surplus / obsolete items;
- With the assistance of designers, research, analyze and recommend furnishing specifications for capital purchases;
- Applies College policies in the sector and acts as College representative as required;
- Represents the Facilities Management department both externally and within the College community for the sector;
- Represent the department on all CNESST requests and chair the College's health and safety committee.
- Other related duties and tasks as assigned by the Director.

Financial- Assist the Director of Facility Management in the preparation of the departmental financial forecast;
- Coordinates departmental budget planning; monitors and manages expenses in the sector;
- Provide annual OpEX and CapEX of related areas of responsibility;
- Evaluate the feasibility and cost of different furnishing requested;
