The Procurement Coordinator is responsible for managing and optimizing the procurement processes at Freshstone Brands, ensuring the timely and cost-effective acquisition of materials, supplies, and services needed for food manufacturing. This role includes collaborating with suppliers, maintaining inventory levels, and supporting cross-functional teams to achieve operational and financial goals.

**REPORTING RELATIONSHIP & REPORTS**:

- Reports directly to Procurement Director
- Collaborates with the Executive Leadership Team and broader Business Team
- Works closely with Suppliers and Vendors
- Engages with other internal departments such as Production, Quality Assurance, and Finance

**FRESHSTONE BRANDS INC.**

Freshstone Brands Inc. (“FBI”) is a premier manufacturer of high-quality prepared food products that services the retail, foodservice, and co-manufacturing channels. The Company’s products include branded and private label entrees, salads, sides, appetizers, hand-held foods, and other prepared foods. FBI supplies mostly fresh and some frozen items to major Canadian retailers for sale “behind the glass” or in packaged formats in the perimeter of the store, as well as to well-known foodservice customers, and some major branded food businesses under contract.

FBI manufactures its products in 6 manufacturing plants which are SQF Level 3 certified and which are strategically located across Canada, giving FBI critical mass, and geographic proximity to the strategically important US market.

With its own brands, FBI services all the major Grocery, Mass, Club and Food Service customers in Canada either directly or through distributor and broker relationships. Additionally, FBI has co-developed and launched a variety of “own-label” and private label programs with a wide range of blue-chip, recognized retailers and food service companies across North America.

**LOCATION**:
Etobicoke, Ontario. Occasional attendance at other manufacturing facilities may be required depending on current and future business needs.

**ESSENTIAL FUNCTIONS**:
**PROCUREMENT PROCESS**:

- Coordinate procurement activities to ensure timely acquisition of raw materials and supplies necessary for production.
- Develop and maintain strong relationships with suppliers to negotiate pricing, terms, and delivery schedules.
- Monitor inventory levels and coordinate with production to forecast material needs and prevent stockouts.
- Review and process purchase orders, ensuring accuracy and compliance with company policies.
- Analyze supplier performance and make recommendations for improvements or changes as necessary.
- Collaborate with internal stakeholders to understand material specifications and quality requirements.

**DATA MANAGEMENT ANALYSIS**:

- Utilize procurement software and ERP systems to maintain accurate records of purchases, inventory, and supplier information.
- Generate reports on procurement activities, inventory levels, and supplier performance metrics to support decision-making.
- Conduct market research to identify potential suppliers and new products, ensuring competitive pricing and quality.

**SUPPLIER MANAGEMENT**:

- Participate in supplier evaluations and audits to ensure compliance with quality standards and food safety regulations.
- Address any supplier-related issues, including delivery delays, quality concerns, and pricing disputes.
- Maintain effective communication with suppliers to ensure timely updates on orders and potential issues.

**COLLABORATION AND SUPPORT**:

- Work cross-functionally with production, quality assurance, and finance teams to ensure alignment on procurement strategies and inventory management.
- Assist in developing procurement policies and procedures that enhance efficiency and effectiveness.
- Support the Procurement Manager in strategic sourcing initiatives and cost-saving projects.

**EDUCATION AND PREREQUISITES**:

- Post-Secondary Education in Supply Chain Management, Business Administration, or a related field preferred; relevant experience may be considered.
- Minimum of 2-4 years of experience in procurement or supply chain management, preferably in the food or beverage manufacturing industry.
- Strong communication skills, both oral and written, with the ability to engage effectively with internal and external stakeholders.
- Proficiency in Microsoft Office, particularly Excel, and familiarity with ERP systems (e.g., Microsoft Navision) is an asset.
- Attention to detail, strong organizational skills, and a proven ability to prioritize and manage multiple tasks.
- Team player with a focus on continuous improvement and problem-solving abilities.
