Office Administrator/receptionist

**Overview**
**Reception and Administration**:
- Greet visitors, clients and guests in a professional and pleasant manner and direct/refer the individual(s) to the appropriate service, staff or resource.
- Schedule meetings for the location based on all business partners’ itineraries. Schedule and arrange site tours as directed.
- Perform day-to-day duties such as opening and closing the building, receive, sort, and deliver mail, deliveries and courier.
- Schedule online meetings and training sessions through Zoom for staff and other professionals.
- Monitor lobby conditions for any health and safety hazards and report hazards to building services or management to be addressed.
- Create and manage digital and hard copy filing systems for all staff and third-partner business partners.
- Work with the Board President to file and distribute all documents related to Board meetings, governance and activities.
- Oversee the use of digital technology to schedule therapists’ appointments, issue invoices, receive payments, issue receipts and coordinate payments with insurance companies when required.
- Provide all required financial information to bookkeeper and compile staff information for payroll.
- Supervise and train office staff in procedures and the use of current software.
- Assist with new student orientations and supervise students’ administrative tasks.
**Client Management**
- Work with the staff and Clinical Director to assess each client’s needs and provide information and referrals as appropriate.
- Identify and respond to potential crisis situations before they occur and take steps to de-escalate minor situations, seeking support when necessary
- Distribute clients’ intake information in pre-formatted electronic or hard copy packages.
**Fundraising and Communication**
- Work with the Clinical Director and other personnel to prepare grant proposals and reports.
- Track all funding received from government grants and outside agencies.
- Oversee the distribution of receipts and donation response letters.
- Provide input into news items and content to be posted on social media channels and the website.
- Assist the marketing coordinator with other marketing administrative tasks as directed by the Clinical Director.
**Requirements**:
- College level education in Office Administration, Communications, or Non-Profit Business
- Excellent time management skills
- Proven record of maintaining privacy and confidential records
Pay: $17.06-$27.12 per hour
Expected hours: 35 per week
