We are seeking a highly organized and detail-oriented professional to join our team as an Executive Assistant & Office Administrator. This full-time, permanent position offers a hybrid work arrangement, with a mix of in-office and remote work based out of Toronto, Canada.

**Your key job responsibilities:
**_Executive Support_**
- Manage calendars, appointments, and inbox organization for executives.
- Arrange and coordinate travel bookings for executives and employees, ensuring seamless logistics.
- Handle confidential information with utmost discretion and professionalism.
- Assist in preparing presentations, reports, and materials for executive-level meetings and events.
- Act as a liaison between executives and other departments, facilitating efficient communication and timely responses.
- Manage incoming requests, prioritize tasks, and ensure timely completion of action items for the executive team.
- Conduct research, compile data, and prepare reports on internal initiatives.
- Maintain accurate and up-to-date files and documentation for easy accessibility.

**_ Office Administration_**
- Oversee day-to-day administrative tasks, including expense management, vendor coordination, and internal communications.
- Maintain a well-stocked and functional workspace.
- Support internal events planning and social committee initiatives.
- Send out routine internal communications.

**_ Event Coordination and Support_**
- Manage the boardroom calendar and coordinate logistics and catering for internal and client-facing events.
- Support employee recognition initiatives.
- Other duties as assigned.

**Must Have Skills and Qualifications**
- Minimum 2 years of experience as an Executive Assistant or Office Administrator.
- High school diploma or equivalent education.
- Eligible to work in Canada.
- Strong organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, with the ability to interact professionally with all levels of staff.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and take initiative.
- Strong attention to detail and accuracy.
- Discretion and ability to maintain confidentiality.

- Demonstrated Project Management Skills
- Experience and capability to assist in organizing events or company gatherings.
- Experience in providing basic HR support to staff.
- Experience in managing basic occupational safety tasks.
