**Job Summary**: We are seeking an Administrative Assistant for our Brokerage division. They will be responsible for managing the coordination and scheduling of freight shipments between shippers and carriers. They act as a liaison between customers and trucking companies, ensuring timely and efficient delivery of goods. This role involves booking freight, negotiating rates, tracking shipments, solving problems, data entry and maintaining communication with all parties involved.

**Key Responsibilities**:
**Load Assignment and Coordination**:

- Dispatch freight shipments to the appropriate carriers based on the customer's needs and available resources.
- Ensure that shipments are routed in the most efficient and cost-effective manner.
- Track and update shipment statuses throughout the transportation process.

**Customer Service**:

- Communicate effectively with clients to understand their shipping requirements and provide updates on shipment status.
- Address any concerns or issues that arise during the transportation process, ensuring prompt resolution.

**Carrier Management**:

- Build and maintain relationships with reliable carriers to secure capacity for shipments.
- Negotiate and establish competitive rates with carriers to ensure profitability for the brokerage.
- Verify carrier qualifications, including insurance and licensing, to ensure compliance with regulations.

**Documentation and Compliance**:

- Prepare and manage necessary documentation for shipments, such as bills of lading, contracts, and freight invoices.
- Ensure that all transactions are properly documented, and all data collected complies with industry standards.

**Problem Resolution**:

- Quickly address and resolve issues that may arise, such as delays, missed pickups, or damage to goods.
- Work closely with fellow team members to identify and solve potential problems before they escalate.

**Data Entry and Record Keeping**:

- Maintain accurate records of all transactions, including load details, carrier agreements, and customer interactions.
- Input and update data in the company's Transportation Management System (TMS) or other software programs.

**Tracking and Reporting**:

- Provide regular updates and reports to management on the status of shipments and any challenges that may have occurred.
- Track performance metrics for shipments, carriers, and customer satisfaction.

**Skills and Qualifications**:

- **Communication Skills**: Strong verbal and written communication skills to coordinate with clients, carriers, and internal teams.
- **Problem-Solving**: Ability to handle unexpected issues that arise during shipments and find quick, effective solutions.
- **Negotiation**: Comfortable negotiating rates and terms with carriers to secure the best possible deals. Should also have an ability to resolve conflict(s).
- **Attention to Detail**: Must be detail-oriented to ensure that all logistics, documentation, and regulations are properly managed.
- **Organizational Skills**: Ability to manage multiple shipments and tasks simultaneously.
- **Coachable**:Must have a willingness to learn and grow and possess an ability to pick up things quickly.
- **Technology Proficiency**: Experience with TMS (Transportation Management Systems), CRM software, and Microsoft Office suite.

**Education and Experience**:

- High school diploma or equivalent required; associate or bachelor’s degree in logistics, supply chain management, or a related field is a plus but not required.
- Previous experience in freight brokerage, dispatching, or transportation logistics preferred, but not required.

**Working Conditions**:

- Full-time position.
- Office-based role with occasional travel required for site visits or meetings.
