**Program Manager - BabyGoRound Helping Families Society**

**Summary**:
BabyGoRound is a Lower Mainland based non-profit organization dedicated to serving low-income and vulnerable families by providing essential baby gear that ensures every child has the necessary items for a safe and healthy start in life. Over the past 12 years, BabyGoRound has supported more than 12,000 families, by collecting gently used baby gear from the community and then working with over 100 referral service agencies to identify the most vulnerable families that need essential support.

**Overview**:
Reporting to the Executive Director, the ProgramManager will oversee the day-to-day operations of BabyGoRound’s (BGR) programs while serving as the primary relationship manager for our network of referral agencies. Your collaboration with these agencies is crucial to the success of our programs, ensuring a seamless flow of support to the families we serve.

The Program Manager will have the opportunity to help shape and enhance the effectiveness of our programs. Joining BabyGoRound means working in a collaborative and dynamic work environment. This role’s leadership will be instrumental in maintaining a positive and dynamic work environment, fostering a culture of teamwork and shared commitment to our mission. This position requires delivery of in-person services at our Kingsway location, currently Monday to Thursday as well as the occasional Saturday.

**Annual Salary**: $45,000-$60,000 for 30 hours per week, with opportunity to increase hours if desired. Work is on-site during program hours (9:30 AM-3:00 PM, Mon-Thur) with flex/hybrid options for the remaining hours.

**Additional Benefits**: Enrollment in a competitive group health and dental plan, plus 3 weeks of paid vacation with additional paid time off during the annual December office closure.

**1. Program Management**
- Agency management: including onboarding new agencies, relationship management and data management as well as following up with general inquiries.
- Client management: including creating new intake forms and oversight of processing and scheduling new clients and tracking post-appointment follow-up data.
- Volunteer management oversight: including scheduling, training and recruitment. Working closely with the appropriate team members with regards to the Community Volunteer Network.
- Manage the baby gear suppliers list and make purchases as requested and when appropriate, to ensure adequate gear levels are maintained.
- Develop and maintain spreadsheets to track program output and trends and provide monthly reporting of data to appropriate staff members for social media and newsletters.
- Provide support in the development and analysis of various reports to effectively measure program outputs and social impact, including development of client and agency satisfaction surveys.
- Conduct sector research and analyze trends to identify gaps in service.

**2. Operations**
- Identify and work to improve operational management systems and processes.
- Develop and maintain operational guides, procedures, and manuals.
- Inform the Executive Director of any operational challenges in a timely manner and work with the team to effectively address these challenges.
- Provide office equipment and IT support/troubleshooting.

**3. Internal Support**
- Provide supervision and support to the Program Coordinator, and interns, as required.
- Work closely with the Executive Director and Manager, Communication & Engagement to strategically identify potential community and referral partners.
- Work closely with the Executive Director as a creative thought partner in identifying, developing and launching complementary resources/initiatives to provide additional supports to families.
- Provide consultation to identify and explore avenues to increase collection of gently used baby gear.
- Provide input on organizations’ stewardship and appreciation mechanisms.
- Participate in internal meetings, trainings and events; leading portions of bi-weekly staff meetings.
- Support facilities management; including purchasing gear, restocking and tidying up.

- Entrepreneurial spirit and creative thinking skills with a high degree of motivation, and commitment to continual improvement and growth.
- Minimum of 2-5 years of program management experience, preferably in the non-profit sector.
- Experience in program development, management and evaluation.
- Superior written and oral communication skills.
- Proven ability to effectively engage with members of vulnerable communities.
- Demonstrated experience in volunteer, student or staff recruitment and supervision.
- Knowledge and experience using data management software as well as the Microsoft and Google Suites.
- Willing to do what is necessary to ensure the
