**Bilingual Administrative Assistant - Ovum Donation and Surrogacy Program**

We are looking to hire a permanent part-time (20 hours/week) **Bilingual Administrative Assistant** for our **Ovum Donation and Surrogacy Program (ODSP)**—to support the program’s initiatives, departmental goals and objectives, and daily operations of this specialized program. Reporting to the Senior Financial Coordinator, the Admin Assistant will provide administrative, clerical, and logístical support to ensure the smooth functioning of the ODSP.

**Duties & Responsibilities**:

- Arranging and providing introductory call sessions to patients on our Ovum Donation and Surrogacy Program, in _French and English_
- Billing patients for CReATe’s services, including procedures and medications, in an accurate and timely manner
- Using EMR systems (eIVF), Salesforce, and Smartsheet to document clinical and billing activities
- Communicating with physicians, nurses, and other departments on patients’ treatment decisions and inquires
- Conducting routine audits of patients’ medical files to ensure billings are done properly; pulling and filing patients’ medical charts for review
- Remaining up-to-date with relevant laws and regulations related to ovum donation and surrogacy
- Updating and managing databases with relevant information, ensuring compliance with privacy regulations

**Education, Experience & Skills**:

- Ability to communicate _**fluently**_ **in French** **(mandatory)** and English
- Basic understanding of medical office billing and OHIP billing, _preferred_
- Previous experience or thorough knowledge of third-party reproductions is also _preferred_
- Post-secondary school education or experience, preferably in Medical Office Administration, or business office management, is an additional plus
- Prior experience giving public presentations in sales and marketing
- Exceptional interpersonal communication skills; and strong organizational, problem solving, and time management expertise
- Proven ability to work both independently and as part of a cross functional team; and for maintaining strong working relationships with co-workers and patients
- Astute sense of urgency—prioritizing workload assignments and remaining calm and collected under pressure
- Exercising good judgment and discretion when dealing with confidential and sensitive information
- Proficiency in MS Office Suite (Word, Excel, and Outlook)
