Job Description Summary
The Assistant Dean, Finance, Facilities & Operations (AD) provides comprehensive strategic financial and operational management for the Faculty of Science, one of the largest Faculties at UBC. Reporting to the Dean of Science and a dual report to the UBC Comptroller, the position is a member of the Dean’s executive team.
This position has Faculty-wide impact, contributing to strategic direction, plans and objectives by identifying key issues and opportunities, managing organizational change, and leading innovative initiatives to move strategic plans forward and providing authoritative advice on financial issues. The AD is a conduit for influence and information sharing between the Comptroller s Office and the Faculty. The incumbent must be aware of both the external and internal political and economic environment within which the University functions and foster relationships with key contacts.
The AD provides leadership in the strategic management of the financial plans, activities and effective administration of financial policies of the Faculty of Science and the University. The AD is a key contributor in setting the overall strategic plan within the Faculty including working with the Dean, Comptroller, Associate Deans and Department Heads/Directors in the areas of strategic resource management, operations, policy implementation and change management. The position develops strategies to support infrastructure plan for the Faculty of Science including major capital projects. Additionally, the incumbent is responsible for developing a strong team of committed financial staff throughout the Faculty.
The position works closely with Dean on a wide range of issues including federal research funding, policies concerning graduate student funding, funding models for research facilities and interdisciplinary research centres, etc. To perform effectively, the incumbent must have an understanding of the academic priorities of both the University and Faculty of Science in order to ensure that the allocation of resources supports priorities and initiatives.
The position also provides leadership for the financial management of major university funds, tuition, and government operating grant funds, as well as endowment and external research funds. The position has responsibility for the fiscal management of an operating budget of $193 million annually and a total budget of $343 million annually, including research funding and development.
The AD provides leadership and guidance to Associate Deans, Unit Heads and Directors, Program Directors, Administrators and staff throughout the Faculty. The incumbent will be expected to develop and maintain good relationships with key contacts in other Faculties and UBC Central Administration. The position plays a key role as Faculty representative on a number of university-wide committees.
Organizational Status
This position reports jointly to the Dean of Science and to the University Comptroller and works in partnership with the Dean’s leadership team to facilitate the academic and administrative leadership of the Faculty of Science. The AD receives day to day direction from the Dean while meeting with and updating the Comptroller during monthly review meetings. The incumbent has regular contact with senior management in central service offices, e.g. VP-Academic & Provost Office, Financial Operations, Budget Office, Research Services, Faculty Relations, Treasury, Legal Affairs, etc., as well as with senior management in other faculties.
