The Maintenance Office Administrator position assists the Maintenance Management team in planning and scheduling corrective and preventative maintenance work orders by task and priority level as maintenance requests are received by departments throughout the resort along with designated clerical duties as assigned by management. This position requires the person to have clear and concise communication skills, a sound knowledge of maintenance and workflow processes and strong technology skills.

***JOB DUTIES INCLUDE:

- Follow the company’s safety polices and procedures when performing or assigning duties.
- Assist with planning and scheduling corrective and preventative maintenance requests by task and priority level.
- Monitor daily the arrival sheets so all assigned rooms are in working order with no outstanding issues.
- Receive, record and assign maintenance work orders that are reported by other departments.
- Enter and update work order information to the database in a timely manner.
- Track preventative maintenance and work order data.
- Maintain office files pertaining to reports and other related clerical functions.
- Maintain inventory of all maintenance and cleaning supplies and equipment and report additional supplies or equipment that need to be ordered to the Assistant Manager or Supervisor.
- Verify and reconcile all incoming invoices for supplies or services and organize for the Accounting Department.
- Prepare and review Request for Proposal/Quotes from suppliers and contractors
- Research and review multiple quotes for supplies, equipment from outside vendors and provide the best recommendations.
- Participate in the formulation of long-range maintenance and budget plans.
- Interact with other departments for transfer of information - work orders, maintenance projects
- Create and maintain reports required for the department on productivity, efficiency, history of repairs and common trends in deficiencies

QUALIFICATIONS:

- Valid G License (clean driving record)
- Experience in a property maintenance environment an asset
- Experience in an office administrator role an asset
- Strong interpersonal skills
- Organizational and time management skills
- Strong computer skills - Word, Excel, RDP (an asset)
- Knowledge of health and safety practices as directed by the Occupational Health and Safety Act

WORKING CONDITIONS:

- Work is performed mainly indoors and occasionally outdoors
- Must be able to bend, reach, lift at least 20lbs
- Must be able to sit average of 6-7 hours per shift
