The Administrative Coordinator reports to the Associate Director, Development and works closely with all Development department staff. This position is responsible for providing a wide range of administrative support for the Department.
- Strong organizational skills and time management
- Attention to detail, accuracy, focus for this multi-tasking role
- Absolute discretion when dealing with patron’s information
- Ability to work with others on the Development Team, with representatives from other departments, as well as self-directed
- Excellent interpersonal and communication skills (both oral and written)
- A professional demeanour and experience/ability in dealing with discerning patrons
- Experience in Microsoft Office - Word, Excel - and Adobe and Tessitura ideally
- Smart Serve certification
- An appreciation for the arts and for theatre

**Primary duties will be**:

- Assisting with the daily processing of gifts through various channels (mail, on account, web, etc.) to support the timely and accurate processing of donations
- Assisting with Tax Receipt reconciliation and distribution for donations
- Coordination and/or preparation of seat notes for donors at all levels and for all performances, as well as the associated reports
- Working with the Manager, Governors Council and Manager, Membership for the coordination and provision of service and hospitality to donors during intermission - Members Terrace and Govornors Council Lounge - including ensuring that distributing daily and weekly reports are run and distributed, timely communication and coordination of requirements with Food & Beverage and Facilities staff
- Coordinate the merging and printing of gift acknowledgement/solicitation letters for Membership, and assist/back up for Governors Council, Legacy Giving and Major Gifts; coordinating with Distribution Department where necessary to ensure timely printing and mailing of letters
- Assist the Associate, Events on the coordination of necessary materials for events such as Openings, including nametags, registration lists, tracking responses for various events run by the Department, etc. as well as necessary receipts
- Assisting with in-person and on-line cultivation and stewardship events as needed
- Support the Associate, Events by coordinating the auction and in-kind donations for our Spring event, including receipts for in-kind donations
- Support the Associate, Events by processing receipts for other Fundraising events
- Assist with donation accounting and receipting issues, including creation and/or completion and resolution of customer service issues (CSIs) and general maintenance and updates for accounts in our database
- Other duties as required

**Secondary duties include**:

- Supporting direct mail campaigns (outgoing gift solicitations for membership or other donations) which may include merging, printing, stuffing communications for mailing
- Providing administrative support to the Director of Advancement, Director of Annual Giving and Associate Director of Development, including assisting with general department correspondence and office management
- Assist Coordinator, Data & Reporting with various reports and list pulls from Tessitura
- Provide admin support for Legacy Giving including direct mail solicitation and communication activities as requested by Senior Development Officer, Individual Gifts and Legacy Giving

**Hours of work**:

- The basic work week will total 35 hours
- Monday to Friday 9:00 am to 5:00 pm
- Some evenings and week-ends will be required for events
