Marlin Spring is a Toronto-based real estate investment firm, which strategically acquires, develops, constructs and repositions assets throughout North America. Since its inception, Marlin Spring has experienced substantial growth having acquired over 40 projects, consisting of 12,000 units which are currently in various stages of development, construction, repositioning and completion across Canada and the United States.
Marlin Spring is an active investor in the development, multifamily residential and retirement community sectors. Today, the team at Marlin Spring and its platforms consist of over 500 professionals involved in all aspects of acquisition, development, construction and asset management of its portfolio.
**Report to**: Site superintendent
This position reports to the site superintendent and is responsible for coordinating daily administrative site related matter. The Site Admin will coordinate the interaction between the site and the office of the company including but not limited to drawings, documents, schedules, filing and organizing.
- Setting meeting and prepared minutes of meeting
- Filing all site related matter including invoices, receipts, locates, safety binders and documents
- Assign cost codes for invoices as per policy and approval of the site superintendent and project manager
- Inspection of material
- Ordering of office and site related supplies, material, equipment in collaboration with the site superintendent and project manager
- Sort and classify information according to policies and guidelines
- Create and track rental logs and purchased items for the site
- Perform general site office duties and operating office machines like printers, scanners, etc..
- Track all suite owner changes and requests
- Track suite finishes and trades work
- Assist in obtaining and clearing all closeout documents
- Process and prepares submittals and logs along with the project coordinator
- Initiate and track deficiencies
- Computer skills, Word, Excel and Procore are mandatory
- Track Tarion documentation
- Toolbox talks, safety orientations, including filing and distribution
- Minutes of meeting for meetings and trade meetings including distribution and follow ups
- Maintain accurate concrete and rebar tracking logs and issues site related purchase orders as directed by the site superintendent
- Purchase orders preparation and distribution
- Safety certifications required
- Any other responsibilities or duties as assigned by the site superintendent
- Ensure all trades policies are available and updated
- Responsible for administering all safety documentation related to trades and the company including setting up Forman safety orientations
- Responsible for ensuring first aid kits and safety kits are fully stocked and functional onsite
