**Position Description**:

This position provides administrative support services within the Clinical Neuropsychology Service as the front desk receptionist. The incumbent greets and registers patients, schedules patient appointments and performs general administrative duties.
**QUALIFICATIONS**:
- Grade 12 diploma or equivalent, and a minimum of a two-year College diploma in Medical Office Administration
- Minimum of 3 years’ experience providing administrative support within a busy, multidisciplinary Mental Health Care facility, with demonstrated knowledge of the Mental Health Act
- Intermediate level of skill in MSWord, MS Excel and PowerPoint
- Clerical testing may be required as part of the selection process
- Ability to communicate effectively and tactfully, both in person and by telephone
- Ability to perform well as a contributing member of a team
- Maintain excellent interpersonal relationships with a strong focus on customer service, while handling multiple tasks and frequent interruptions
- Good organizational skills
- Good work performance and attendance record is essential
**RESPONSIBILITIES**:
- Provides reception for the Clinical Neuropsychology Service, handling incoming phone calls, inquiries and visitors.
- Provides admin support in typing routine correspondence, filing, sorting/distributing mail, faxing and photocopying.
- Registers patients, ensuring that all pertinent patient data is entered in the patient information system accurately and efficiently.
- Triages all incoming inpatient consult requests via electronic medical record, directing new referrals to relevant clinical staff daily
- Set up and note-taking at bi-weekly team triage meetings and monthly staff meeting
- Triages all incoming calls, answering immediate concerns and referring other calls as required.
- Processes discharge of patient in database.
- Schedules patient appointments and makes telephone reminder calls for next day appointments.
- Ensures all supplies required by the unit are adequately stocked and re-ordered and maintenance work orders are monitored and handled in a timely manner.
- Remains alert regarding client, patient and family activity and ensures that work area is maintained in a safe, organized and presentable way at all times.
- Provides support to other administrative support staff as required and assists with other activities assigned by the Manager
The successful applicant will provide administrative coverage and support for long term vacancies within the Anxiety Treatment & Research Clinic. Episodic unit coverage may also be required while following all applicable scheduling provisions of the Collective Agreement.**HOURLY WAGE**:
