**35 hours per week**

**Job Summary**:
The Program Coordinator at Adult Learning on Lombard (ALOL) is responsible for carrying out day-to-day functions of the adult literacy program, in conjunction with the Canadian Mental Health Association (CMHA).

**Duties and Responsibilities**:

- Reception duties such as:

- Responding to the phone
- Inquiring if new people enter the space
- Establishing and maintaining relationships with outside agencies to support referral and promotion
- Receiving referrals and contacting potential new learners for an intake appointments
- Completing intake appointments for potential learners, which includes:

- Scheduling intake appointments
- Going through/completing the appropriate paperwork
- Completing the oral portion of the Canadian Adult Reading Assessment (CARA)
- Having learner complete writing assessment
- Liaising with building manager regarding:

- Maintenance issues
- Building closures
- Compiling data/documentation
- Keeping minutes for:

- staff meetings
- Case management meetings with CMHA
- Other meetings as required
- Keeping a database of outside agencies that support ALOL
- Learner Surveys:

- end of semester 1 and
- end of semester 2
- Narrative reports of program as required
- Updating Teams:

- Updating Attendance Tracker spreadsheet
- Updating and adding various learner files
- Updating Teacher Handbook
- Distributing program information and publicity materials
- Providing administrative and other supports to teachers, including, but not limited to
- Supporting the booking of events for learners
- Supporting in-school and out-of-school events
- Creating supply orders for Staples, Amazon, Costco, etc.
- Entering in absences for learners
- Communicating with learners about their attendance, which includes:

- Meeting with learners to discuss attendance concerns
- Creating individual attendance plans
- In consultation with the Director, removing learners from the program
- Conducting re-entry meetings
- Working in close collaboration with other involved service providers in the best interests of learners
- Working with CMHA to support learners
- Liaising with Employment and Income Assistant (EIA), where appropriate
- Classroom coverage as needed

**Qualifications, Skills and Abilities**:

- Qualifications_
- A grade 12 education and two years of relevant work experience or a combination of relevant education and experience
- Prior experience working within adult literacy and adult education is an asset.
- Manitoba Adult Literacy Learner Assessment (MALLA) training preferred or willingness to complete MALLA training required
- Familiarity with adult learning principles
- Understanding of cross-cultural perspectives and knowledge of Indigenous worldviews
- Skills and abilities_
- Demonstrated skill in navigating inter-sectoral and multiple stakeholder environments
- Proven organizational, time management and multi-tasking capabilities
- Ability to work independently and as a member of various teams
- Strong interpersonal skills, including written and oral communication
