Program Administrative Coordinator

Committed to Clan Mothers Turtle Lodge’s strategic vision and values for its Healing Village (CMHV), the **Program Administration Coordinator** (referred to as the “PAC”) will report to Clan Mothers Program Director, be well organized, detail-oriented, possess excellent communication skills, thrive in a teamwork environment, can work under mínimal supervision, and is confident in supporting the Clan Mothers team in various office and training program administrative supports and activities.
The **Program Administration Coordinator** plays a crucial role in aiding with program activities and administrative duties under Clan Mothers Healing Village for several training programs and other initiatives that support the specific needs, challenges and priorities of Indigenous Women, 2-Spirited and LGBTQQIA individuals within our communities.
**PRIMARY DUTIES / RESPONSIBILITIES**:
The primary duties and responsibilities require a combination of administrative, interpersonal, cultural, coordination and organizational skills to effectively support CMHV’s programs and initiatives under the direction of the Program Director.
- **Program Coordination**: Assist in the coordination, planning, implementation, and evaluation of CMHV’s programs to ensure alignment with organizational goals, objectives and priorities.
- **Administrative Support**: Provide administrative and logistic support for CMHV’s program’s activities, including scheduling, equipment setup, collecting participant data, ordering supplies, preparing meeting agendas and minutes, materials, reports and correspondence.
- **Employment Transitions & Work Placement Monitoring**: Provide employment transition assistance and workplace monitoring assistance to Mother Earth Construction Crew Program, including work placement agreements, troubleshooting issues, collaboration and facilitating communications between the participants and employers.
- **Budget Management**: Assist in developing and monitoring program budgets, tracking expenses, and ensuring financial accountability and compliance.
- **Documentation and Reporting**: Collect, record, maintain and prepare accurate records, databases, and documentation related to program activities, outcomes, and impact. Assist in the preparation of program reports on program activities, outcomes, accomplishments and challenges for internal and external stakeholders, funders, donors and partners.
- **Communication and Outreach**: Facilitate communication and outreach efforts to promote program awareness, recruit training participants, complete registration intakes, develop marketing materials and communications, and collaboration within external stakeholders.
- **Cultural Competency**: Demonstrate cultural competency and sensitivity in all interactions with Indigenous Women, 2-Spirited and LGBTQQIA individuals respecting their traditions, values, and perspectives.
- **Training and Capacity Building**: Coordinate the logistics for training sessions, workshops, and capacity-building for its programs.
- **Evaluation and Continuous Improvement**: Gather participant feedback for program evaluation activities to assess program effectiveness, identify areas for improvement, and make recommendations to enhance program content, delivery method, impact and sustainability.
**RELATIONSHIPS**
- Establish and maintain excellent working relationships with staff, training / education providers, Board members, third parties/vendors, stakeholders, Elders, Knowledge Keepers, and clientele.
- Always maintain and present a positive and professional image of Clan Mothers Healing Village.
- Participate in internal or external meetings as required or assigned by Clan Mothers Vision Keeper.
- Ensures Clan Mothers’ Program Director is kept up to date on all matters as required.
**CONFIDENTIALITY**
- Maintain confidentiality in all aspects related to the position, both inside and outside of the workplace.
- Ensure the confidentiality and safekeeping of all documents and records according to privacy legislation.
**POSITION QUALIFICATIONS**
**EDUCATION REQUIREMENTS**
A minimum of Grade 12 diploma education, supplemented with a post-secondary education in office administration or business administration, and/or work-related experience in a similar field in a non-profit/charitable organization office setting.
**PREVIOUS EXPERIENCE**
At least two (2) years of work experience in program coordination and office administration
**KNOWLEDGE, ABILITIES, SKILLS, AND CHARACTERISTICS**
- Strong knowledge and skills in office and program administrative principles, practices, and procedures.
- Understands and is knowledgeable of Indigenous holistic training programs, project management, office functions, processes, structures, and operations.
