**ROLE SUMMARY**

The Fundraising Coordinator, Donor Relations and Annual Giving is a multifaceted position with key responsibilities for data management, donor relations, direct mail campaigns, monthly giving and tribute programs. As a key contact for donors and stakeholders, this position is customer service driven and supports donor and stakeholder communications, and stewardship and recognition programs. The role leads fundraising data management processes and is responsible for importing and exporting data, query development, ensuring data entry policies and procedures are up-to-date, documenting database changes and maintenance, ensuring that stakeholder and prospect information is accurate, generating financial and analytical reports, tracking fundraising moves and list generation for direct mail campaigns, events, and awareness campaigns. This position reports to the Manager, Fundraising and works in collaboration with all other members of the Fundraising, Public Relations/Marketing and Community Engagement teams.

**KEY RESPONSIBILITIES**

**Data Management**
- Oversees Raiser’s Edge, the Association’s fundraising database and other donor management software.
- Responsibilities include importing and exporting of data, query development and analysis, pulling timely and time sensitive reports, mail lists, tracking fundraising moves and campaigns as well as donor stewardship and recognition activities while ensuring data accuracy.
- Prepares and runs clean lists for the purposes of mailings, membership engagement, donor stewardship and recognition.
- Processes online, offline donations and gift in kind donations, generate acknowledgement letters and tax receipts in accordance with Canada Revenue Agency rules and regulations and the Associations policies and procedures.
- Processes donations of securities and gifts received by electronic fund transfer (EFT).
- Processes gifts from third party donation platforms including Canada Helps, Benevity, GlobalGiving, My Tribute Gift and PayPal.
- Processes monthly donations by credit card and direct debit.
- Maintains and tracks donor and volunteer recognition levels.
- Tracks all donor and grant agreements and ensures other team members are doing the same for their portfolios.
- Sets up pledges, sponsorship commitments and recurring gift batches

**Direct Mail Campaigns**
- Supports campaign strategy, story development, logistics, budgeting and donor stewardship and recognition in the annual planning of direct mail campaigns.
- Coordinates all direct mail campaign tracking, reporting and analysis
- Prepares and runs clean targeted and segmented lists and coordinates with direct mail consultant and production house.
- Coordinates direct mail campaign social media and digital strategies with Manager, Fundraising and the PR/Marketing team.

**Monthly Giving and Staff Payroll Deduction Program**
- Coordinates all aspects of the monthly giving program, including welcoming new monthly donors, payment tracking, upgrade strategies and imbedding monthly donors into Direct Mail Campaigns
- Coordinates all aspects of the Association Staff Payroll Deduction Campaign (not connected to the UW payroll deduction campaign) including creating campaign strategies, recognition, retention, gift entry, tracking and reporting.
- Leads Monthly Donor campaigns to recruit monthly donors through social media.

**Tribute Giving Program**
- Coordinates the Association’s Tribute Program that includes In Honour and In Memory gifts.
- Liaises with families and CLTO staff to coordinate bereavement or celebratory content on donation pages or to be sent to funeral homes.
- Tracks and reports on gifts received through the tribute program
- Works with the Manager, Fundraising and PR/Marketing team to promote Tribute Giving through social media and digital tactics.

**Donor Relations**
- Prepares recognition and thank you letters and reports pertaining to events, recognition, and stewardship activities.
- Conducts donor calls to manage missed gifts, update payment methods or provide other fundraising services as needed
- Connects with donors through social media as appropriate and within CLTO social media guidelines
- Makes regular thank you calls to donors and stakeholders.
- Leads the annual thank-a-thon to donor and stakeholders.
- Responds to inquiries such as tax receipts, gift reports, record updates, and tribute inquiries
- Maintains strong relationships with donors, members, volunteers and CLTO staff
- Works with the Fundraising team to regularly review, analyze and update Donor Recognition and Stewardship tactics.

**Financial Management and Administration**
- Reconciles financial transactions and prepares monthly reports.
- Ensures the integrity of all financial records relating to fundraising campaigns and tactics
- Works with Fundraising team members to reconcile all project transactions for entry into Raiser’s Edge
- Understands Canada Revenue rules and regulations for issuing
