**REPORTING TO**:Sr. Project Coordinator

***:
The Project Coordinator is responsible for the co-ordination between Project Manager, Operations and Estimator/Sales to support and ensure seamless planning, communication and execution of project life cycle, including but not limited to:

- Estimating/Quoting/Tendering
- Project Management
- Scheduling
- Billing
- Compliance/Administration

**RESPONSIBILITIES**:
Including but not limited to the following:
**ESTIMATING/QUOTING/TENDERING**
- Prepares Quotes/Change Orders as per Estimator Job Costing Form (JCF) and submits to client
- Facilitates and liaises between Estimator/Project Manager and client to secure PO
- Archives folders for future reference
- Administers Client Database
- Supports RFI, RFQ, RFT packages and facilitates submission, liaising with:

- Estimator/Project Manager
- Accounting
- HR
- Secures PO from client and satisfies PO package specifications:

- Certificate of Insurance
- WSIB Clearance
- Bonding
- Other (as required and identified)
- Prepares Job setup form
- Opens Job folder (as per standard operating procedures)

**PROJECT MANAGEMENT**
- Prepares job package for Supervisor/Superintendent
- Job #
- Scope Definition Sheet
- Materials Sheet
- Tools and Equipment Sheet
- Liaise between Superintendent and Estimator/Project Manager as needed regarding:

- Scope Change
- Schedule Change
- Budget constraints through reference to the JCF and Purchase Orders
- Tracking, documenting and regular reporting on T&M job costs
- Customer Relations
- Communicate and co-ordinate with PM:

- Scope Change
- Schedule Change
- Budget Constraints through reference to the JCF
- Customer Relations
- Liaise with Accounting to report and account job status:

- Progress billing
- Final invoicing
- Help ensure project requirements, scope and objectives are delivered on time and on budget

**SCHEDULING**
- Facilitate weekly scheduling meetings
- Maintains accurate and up-to-date resource schedule to track and support WIP, new job start, other;
- Liaise with PM/Estimator and Superintendent to manage schedule

**FINANCE**
- Maintain job closing database and update Finance weekly
- Prepare and submit “Request to Invoice” package to Accounting
- Progress Billing
- Lump Sum/Final Billing
- Close Job Folder and communicate with Manager

**COMPLIANCE**
- Coordinates with Project Manager, Compliance to ensure legislative requirements:

- Notice of Projects;
- Locates;
- Permits;
- Other
- Verifies employee and corporate training records, in co-ordination with HR as applicable to awarded work and tendering process.
- Facilitates HR and/or H&S policies/procedures:

- Corporate records;
- Worker training requirements/tickets;
- Working Alone procedure;
- other

**EDUCATION and EXPERIENCE**:

- University degree or college diploma and/or 5+ years’ experience in the construction industry

**SKILLS and KNOWLEDGE**
- Experience working in ICI construction including but not limited to Demolition, Abatement and/or Civil
- Ability to multi-task and perform under intense pressure and time constraints
- Strong interpersonal and communication skills, both written and oral.
- Detail orientated with organizational astuteness
- Respect and appreciation for process and process improvement
- Good client management and goodwill building ability
- Effective time management and logical decision-making ability
- Proficiency in MS Office Skills (Excel, Word, Access, Project and Outlook).
