Green Horwood & Co LLP is a dynamic accounting firm specializing in providing tailored tax solutions and financial advisory services to a diverse client base. We are seeking a highly organized and proactive Executive Assistant to support our partners with efficient, reliable, and professional assistance.
**Key Responsibilities**:
As the Executive Assistant, you will play a pivotal role in our firm’s success by ensuring seamless support in daily operations. Responsibilities include, but are not limited to:
- **Client & Team Coordination**: Schedule and organize meetings with clients, team members, and other stakeholders.
- **Tax Return Coordination**: Send Canadian personal tax returns electronically, coordinate the printing and assembly of physical tax returns, monitor electronic signatures (e.g., T183), and follow up as needed.
- **Document & File Management**: Maintain well-organized digital filing systems for quick and secure access to information.
- **Client Liaison**: Act as a professional point of contact between partners and clients, fostering positive relationships.
- **Confidentiality Management**: Handle sensitive client information with absolute discretion.
- **Bookkeeping & Expense Reporting**: Support basic bookkeeping tasks, prepare and track invoices, and manage expense reporting.
- **Project Coordination**: Track and monitor progress on various projects, assisting with timely updates and milestone achievements.
- **Research & Data Support**: Conduct research and compile information to aid partner decisions and projects.
- **Office Coordination**: Work with on-site staff for any physical office requirements.
**Qualifications**:
- Proven experience as an Executive Assistant or in a similar administrative role, ideally within an accounting or professional services firm.
- Exceptional organizational skills with the ability to multitask and prioritize effectively.
- Strong communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and comfortable with digital filing systems.
- Understanding of confidentiality requirements and ability to handle sensitive client information with discretion.
- Basic knowledge of bookkeeping or accounting practices is a plus.
