**Job Overview**
**Responsibilities**
**Provide telephone and in-person receptionist duties for the health clinic including**:
- Greet and welcome patients, guests, and business representatives; determine their needs and put them in contact with appropriate staff.
- Receive incoming calls and answer routine inquiries; screen and/or transfer calls to the appropriate member of the team.
- Take messages for all staff.
- Monitor and manage the general tidiness of the waiting room.
- Attend to patient behaviors in the waiting room by listening, be culturally responsive, supporting, validating and in the case of disruptive behaviors employing de-escalating techniques.
**Provide and manage clinic intake and bookings including**:
- Provide intake services to new clients, by determining their need or directing them to the appropriate clinician according to clinic referral criteria.
- Build positive, culturally respectful relationships with individual clients, to support good health outcomes.
- Provide assistance with client intake documentation.
- Direct and schedule client appointments with an appropriate member of the health care team including recall and/or follow up.
- Answer routine inquiries of visiting clients, including assisting clients to access the services of other agencies.
- Manage electronic patient files.
- Manage booking that include space each day for urgent care needs.
- Receive membership fees and maintain an up-to-date record of current paid members
- Receive donations, maintain accurate records and prepare receipts.
**Provide clerical services to support the clinic and the team**:
- Provide administrative duties supporting the team including: reports, letters, notices, and scanning.
- Import/File patient history/treatment records
- Enters patient data into MedAccess.
- Process laboratory requisitions.
- Call patients who are due for routine blood work - e.g HgbA1c
- Liaise with Lab Techs at SH to support nurse’s inquiries.
- Do ultrasonic autoclave processing as requested.
- Manage medical supplies in the clinic, including: inventory control and ordering of consumable medical supplies and the stocking of rooms.
- Check packing slips on medical supplies and advise Office Manager of any discrepancies.
- Manage office supplies for the medical clinic including manage an inventory control system, including ordering and shelving supplies.
- Support with Physican billing and compensation.
- Perform other related duties as required.
**Qualifications**
- Medical Office Assistant certificate from a Canadian accredited educational institute and/or equivalent years of experience in an office assistant role in the health field
- Completion of medical terminology course from a Canadian accredited institution
- First Aid and CPR
- Mental Health 1st Aid Course
**Desirable Skills**
- Demonstrated ability to use Telus Med Access
- Ability to provide patient testing for blood pressure, height/weight/BMI, urine dips, eye exam.
- Excellent typing skills (up to 60 WPM)
- Knowledge of medical terminology
- High level of computer literacy
- Knowledge of local community resources relating to health and social services
- Familiarity with local health services, physician clinics, hospital departments
- Ability to work in a team environment
- Strong written, listening and oral communication
- Strong organizational skills
- Professionalism, ethical behaviors, and respectful practices
