Description

Join a dynamic team at the University of Ottawa Heart Institute (UOHI) as an Administrative and Project Coordinator for the Brain-Heart Interconnectome (BHI) and UOHI Brain-Heart Program. The BHI is a ground-breaking interdisciplinary research program aimed at accelerating prevention, detection, treatment and care of brain-heart disorders. The BHI program is led by the University of Ottawa, University of Ottawa Heart Institute (UOHI) and Brain and Mind Research Institute (uOBMRI) in collaboration with partner organizations in Canada and internationally. This role provides essential support to Dr. Peter Liu, Scientific Director, UOHI Brain-Heart Program and Co-Scientific Director, BHI, ensuring efficient operations and collaboration across research initiatives.

**Responsibilities**:

- ** Stakeholder Engagement**: Support the engagement of Dr. Liu with researchers, faculty, partners and cross-functional committees, such as the BHI Knowledge Mobilization and IDEAS (Inclusion, Diversity, Equity, Accessibility and Social Justice), to promote collaboration and advance research initiatives.
- ** Financial Oversight**: Assist in UOHI relevant budget management, expense tracking, and reconciliation, ensuring compliance with institutional policies.
- ** Program Operations**: In collaboration with the BHI Secretariat, support the operational functions of BHI programs including aspects of the BHI Training Program and administration of BHI funding programs.
- ** Executive Support**: Manage Dr. Peter Liu's agenda, calendar, and travel arrangements, coordinating with leaders from the BHI, uOttawa Brain and Mind Research Institute and other UOHI departments.
- ** Communication and Coordination**: Triage phone calls, facilitate meetings, and organize logistics for office functions, including international travel and conference attendance. Participate in BHI team meetings to foster strong communication across uOttawa, UOHI and uOBMRI.
- ** Documentation and Reporting**: Prepare correspondence, briefing notes, and reports on behalf of Dr. Peter Liu and the BHI, maintaining accuracy and confidentiality.

**Requirements**:

- ** Experience**: Proven experience as an Administrative Coordinator in similar roles, ideally within a research or academic environment.
- ** Skills**: Strategic thinker and diplomatic with multiple constituencies. Strong organizational skills with meticulous attention to detail. Proficiency in MS Office Suite (Word, Excel, PowerPoint) and administrative systems.
- ** Communication**: Excellent written and verbal communication skills, adept at interacting with diverse stakeholders and maintaining confidentiality. Competency in both official language (English and French) is considered an asset.
- ** Adaptability**: Ability to prioritize tasks, manage multiple projects simultaneously, and thrive in a fast-paced, dynamic environment.
