**TITLE**: Client Service & Accounting Assistant (CSAA)

**LOCATION**: 190 Hanlon Creek Blvd., Guelph ON

**TYPE**: Full-Time (40 hours/week), Permanent

**JOB SUMMARY**:
Reporting to the Manager, Finance & Administration, the Client Service & Accounting Assistant (CSAA) is responsible for aiding with the day-to-day coordination of the finance, accounting and reporting functions of the Guelph Humane Society (GHS), as well as providing customer service to members of the public. The
CSAA will provide exceptional customer service, excellent communication and organization skills, and will always demonstrate a positive attitude, while supporting the overall mission and values of the humane society.

This position is comprised of two distinct roles (in Finance and Client Services), and scheduled hours will be split between the roles. The _ACAA will be required to work one weekend day per week _(e.g., Tuesday through Saturday) to maintain 7-day coverage of the Client Services department.

**KEY RESPONSIBILITIES ** _include but are not limited to: _
- Client Services Representative (approx. 24 hours/week)_
- Show a good understanding of animal welfare and effectively communicate the mission and values of the Guelph Humane Society positively.
- Ensures that members of the public receive professional, prompt and friendly service.
- Ensures telephones are answered efficiently, accurately and professionally, and calls are directed to the appropriate department/individual as needed.
- Produce and maintain accurate receipts, records and files using shelter data management software (PetPoint).
- Organizes and keeps the office and reception area clean, organized and running efficiently while adhering to COVID protocols.
- Actively aid in our lost and found program, ensuring lost pets are reunited with their owners as a matter of utmost importance.
- Always treat other staff, management, volunteers and members of the public with courtesy and respect.
- Assists with Animal Services Department through dispatching calls and recording prompt and accurate reports as given by members of the public.
- Processing cat and dog licensing for the City of Guelph and surrounding Townships.
- Accounting Assistant (approx. 16 hours/week)_
- Perform the normal day-to-day finance department operations (i.e., Accounts Receivable, Accounts Payable, deposits, bank account monitoring, bank reconciliations, petty cash, bank deposits, etc.).
- Ensure security of funds and accurate account coding and entry into QuickBooks Online.
- Checking for accuracy in reports, figures, and postings.
- Document and maintain complete and accurate supporting information for all financial transactions.
- Create, implement and maintain systems to ensure an organized work environment.
- General_
- Maintain an elevated level of communication with all other staff and volunteers
- Participate in training, evaluation, GHS events and other meetings as needed.
- Responsible for ensuring privacy of confidential information.

**KEY QUALIFICATIONS**:

- _An asset: _post-secondary education in Accounting, Finance, or related field.
- Minimum 1-year experience in accounting, office administration, and customer service.
- Computer literate at an intermediate level in Accounting Software (QBO) and Microsoft Office (Access, Excel, Outlook, PowerPoint, Word).
- Strong analytical skills and attention to detail to ensure accuracy of accounting and administrative records.
- Strong time management skills: ability to meet deadlines, re-prioritize competing demands, work with frequent interruptions.
- Strong verbal and written communication skills; organizational and analytical skills; problem solving and decision-making skills.
- Demonstrated ability to work in team environment and communicate effectively with a variety of departments.
- Demonstrated initiative, tact, diplomacy, integrity, and creativity.
- Accounting and financial management acumen; knowledge of generally accepted accounting procedures and protocols, budget development/ administration and financial forecasting, analysis and reporting.
- _An asset: _Knowledge of federal and provincial legislation affecting charities, charitable status including CRA (Canada Revenue Agency) regulations in Canada.
- Willingness to work in environment with animals.
