Receptionist

**Position Summary**
The Receptionist is responsible for meeting and greeting resident, guests, suppliers, vendors, and outside service providers in a warm and professional manner. Monitor visitors entering the building ensure they sign-in. Answer/transfer incoming phone calls and handle switchboard to respond to communication needs and inquiries. Keep environment of the lobby and front desk neat and clean. Maintain resident data, such as directories, information sheets, and other projects on the computer. May coordinate transportation for resident trips or outings.
**Duties and Responsibilities**
Under the supervision of the Business Office Manager, the duties and responsibilities of the Receptionist include, but are not limited to, the following:
- Provide ongoing switchboard coverage;
- Serve as Receptionist and greet guests, residents, vendors, suppliers, etc., either in person or on the telephone in a warm and professional manner;
- Solve issues presented by residents, guests, vendors, suppliers in a manner so that both the organizational objectives are met, as well as the individuals feel they were served appropriately, Keep difficult situations from escalating;
- Accept packages delivered, documents receipt of packages in log book, and notifies resident (recipient) of delivery;
- Distribute packages, business mail and magazines;
- Maintain visitor log-in sheets;
- Monitor closed circuit security TV cameras and fire alarm board, where applicable;
- Maintain security for admittance to all entries accessible to public;
- Prepare maintenance work orders as requested by residents and staff;
- Ensure lobby area is kept neat and clean. Picks up debris and keeps desk work area clutter free;
- May assemble marketing brochures and materials;
- Assist with resident sign in for Life Enrichment events or other functions as needed;
- Complete tasks on the computer such as inputting resident data, maintaining data bases, creating notice sheets, creating documents to be shown on the internal television channel;
- Maintain resident status list;

**Minimum Requirements**
- High School Diploma or equivalent in education, training experience;
- Minimum of one (1) year of experience as Receptionist/Switchboard Operator;
- Prefer experience in senior living environment;
- Knowledge of switchboard operations;
- Ability to handle multiple tasks;
- Ability to solve problems in a calm manner;
- Familiarity with Microsoft Office Suite products; and
- Doctor’s statement verifying employee is free from communicable disease.
**Working Conditions**
Tools, equipment, machines computers and software used on the job:
- Personal computer;
- General office equipment: printer, copier, scanner, fax machine, telephone/switchboard, postage machine, postage scale, check scanner; and
- Security: entrance security system, walkie-talkie, intercom, overhead paging.
Physical activities of the position:
- Lifts and carries up to 50 lbs.;
- Reaches, bends and twists;
- Talks and listens frequently; and
- Sits six (6) hours per day; stands and walks two (2) hour per day (combined).
Physical requirements of the job
- Sedentary work - exerting up to 50 lbs. of force occasionally, and /or a negligible amount of force frequently or constantly to move objects and equipment
Environmental factors:
- The worker is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work).
**Job Type**: Part-time
Part-time hours: 16 per week
**Salary**: $23.38 per hour
Expected hours: 16 per week
Schedule:
- 8 hour shift
- Every Weekend
- On call
- Weekends only
**Education**:
- Secondary School (preferred)
**Experience**:
- administrative assistant: 1 year (preferred)
- receptionist: 1 year (preferred)
