**SCOPE OF POSITION**: The Sales Coordinator
- Hilton Garden Inn Toronto/Mississauga provides administrative support for the sales team and contributes to a positive, enthusiastic environment. This individual reports to the DOS and works cohesively with the Group Sales and Catering Managers on a daily basis. Major areas of responsibility include:
**SALES DUTIES**:

- Answers telephones, qualifies lead inquiries, directs call and relays messages in a timely manner.
- Prepare correspondence, proposals and group contracts for Sports, Tour Sales, Social and Corporate Groups in a professional and timely manner as required.
- Participate in MOD Schedule as assigned.
- Responsible for creating group blocks in ONQ Sales & Events
- Liaise with Group Convener to finalize group details (Rooming list, shuttle requests, VIPs, CRM, special requests, etc..)
- Monitors and updates Group Room blocks and insures that the hotel’s deposit and cut off policies are adhered to.
- Support the Director of Sales in the Corporate Sector during RFP season, with qualifiers, wish/walk and RFP submissions.
- Back up support for the Catering & Events when absent.
- Tracks Locally Negotiated Rates
- Proactively field questions and manage client requests in the absence of the Sales Team
- Conduct prospecting calls and Site Inspections as required
- Complete & submit daily synopsis and weekly sales report to Sales Manager, DOS & Regional Director of Sales & Marketing, and General Managers.
- Participate in select approved trade shows, client events or missions when required.
- Provides a professional image at all times through appearance and dress.
- Attend and present in weekly Sales Meeting and provide group update.
- Participate in other projects that may be assigned by the DOS/Regional Director of Sales & Marketing or GM
- Liaise with other Bayview Sales Coordinators as required.
- Liaise with sister hotels for group leads for both hotels
- Follow up on the Arrivals Report as directed by DOS or Group Sales Managers
- Participate in Brand webinars/training as assigned for Hampton and Homewood.
- Lead referral to other Bayview Hospitality owned hotels.

**Client Communication**:

- Coordinate all group arrangements internally with all departments.
- Work closely with Front Office Manager for the creation of Group Masters & Setup billing for groups.
- Solicit guest’s feedback and alert Senior Management to all opportunities for improvement.
- Accepts responsibility to enact the customer satisfaction pledge of the brand.

**Administrative Duties**:

- Prepare Sales Kits, presentation folders and CRM for group bookings as required.
- Develop and create required Sales and Marketing collateral such as flyers, brochures, site alerts, sales presentations, etc.
- Employ Constant Contact on behalf of Sales personnel as required.
- Coordinates arrangements for special events as required**.**
- Create Personalized Group Web Pages.
- Prepare commission paper work for groups.
- Process Hilton Honors points for group blocks.
- Establish and maintain sales files and keep Sales Force current.
- Other duties as assigned by SM, DOS, GM, & RDOS

**Salary**: $18.73-$19.23 per hour
