Job Overview
Established in 1989, Pacific Rim Early Childhood Institute offers distance education designed for students looking to work in licensed day care, preschool, child care facilities, and careers requiring completion of ECE certifications.
Provide hybrid support (5 hours a week on-site minimum) at the Pacific Rim Early Childhood Office by performing a variety of administrative functions such as managing incoming and outgoing mail, recording payments received by mail, preparing official documents, and assisting the Student Services Director.
Reports to: Student Services Director
Primary Responsibilities
- Distribute or scan and email incoming mail and packages to the appropriate Pacific Rim staff
- Prepare transcripts and certificates according to policies and procedures
- Prepare outgoing mail
- Record incoming payments
- Process refunds as per refund policy
- Monitor office’s administrative supplies and notify Student Services Director for purchase order to be completed to replenish supplies
- Follow up with potential students and current students when contact information is left through the website chatbot.
- Upholds confidentiality and privacy of student information and inquiries;
- Contact students as needed to request submission of further information (i.e., exit interviews) or completing required actions (i.e., submitting overdue assignments);
- Maintains good working relationships with PRECI staff, consultants, and contractors;
- Participates in staff meetings as required; and
- Other duties as required.
Qualifications
- Administrative diploma or equivalent
- Experience in providing customer service, previous experience working in a call-centre or student help desk is an asset;
- Ability to utilize MS Teams to facilitate a virtual office;
- Ability to type 50 w.p.m; and
- Excellent communication skills, both verbal and written.
Knowledge and Skill Requirements
- Basic understanding of printer/scanner functions
- Basic understanding of postage rates and regulations
- Basic math competency and consistency (i.e., adding and totalling payments received)
- Time-management skills
- Detail-oriented
- Ability to categorize correspondence and ensure it is delivered to the right destination
- Excellent communication skills, both verbal and written
- Excellent interpersonal skills, particularly working in a team-oriented environment
Job Types: Part-time, Permanent
Pay: $24.00-$26.00 per hour
Expected hours: 20 per week
