About TCA: TCA is a dynamic organization committed to helping our association members grow their individual businesses. We are seeking a highly organized and efficient Administrative Assistant to join our team for a one-year contract position who will report to the Vice President of Operations. This role offers a hybrid work arrangement and provides an excellent opportunity to support various administrative and operational tasks.
Key Responsibilities:
Administrative Support for the Vice President of Operations
· Provide administrative assistance to the Vice President of Operations.
· Respond to correspondence, support ongoing projects by creating presentations, drafting reports
· Assist with prioritizing tasks and supporting workflows to ensure efficiency and meeting deadlines.
· Prepare meeting agendas, take minutes, and follow up on action items.
· Assist in maintaining and updating our CRM/Database as needed
· Managing Google Forms
· Supporting TCA Committees
Support Reception Coverage:
· Act as the first point of contact for members, providing professional and friendly reception services.
· Answer and direct phone calls to the appropriate personnel.
· Manage incoming mail and packages and ensure timely distribution to relevant departments.
· Work closely with our accounting department to ensure reconciliation of daily financials.
· Fulfilling online orders.
· Assisting members with meeting room bookings / certificate requests.
Event Support:
· Coordinate logistics including TCA events and Managed Associations events as required
· Assist with event planning and materials preparation as required
· Assisting with social media posts to: LinkedIn, X, Instagram and Facebook
· Provide on-site event support as needed to ensure the smooth execution of events as required
General Administrative Tasks:
· Assist with office supply management and place orders when necessary.
· Coordinate with other departments to ensure seamless communication and task completion.
· Handle other administrative duties as required to support daily operations.
· Coordinate with external vendors to facilitate building maintenance to ensure seamless execution
Skills and Qualifications:
- Post Secondary Education - completed degree or diploma required
- Proven experience in an administrative role, with strong organizational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proficiency in Google Suite
- Strong attention to detail and ability to prioritize tasks effectively.
- Ability to handle confidential information with discretion.
- Experience with event coordination is an asset.
- Professional and courteous demeanor, especially when interacting with visitors and senior executives.
- Ability to work independently and as part of a team.
Hybrid Work Arrangement: This is a hybrid position, with the flexibility to work remotely 2 days per week and 3 in-office days.
Contract Duration: This is a one-year contract position, with the possibility of extension depending on business needs and performance.
