The Executive Assistant & Sales Operations Specialist is a high-performing, tech-savvy professional who supports both the CEO and SVP of Sales across executive, operational, and strategic initiatives. This role is designed for someone who can move fluidly between high-level executive support, confidential “Office of the CEO” functions, and hands-on sales operations enablement in a scaling SaaS environment. Approximately 20% of time will be spent on SVP Sales support responsibilities. The individual must operate with full-time capability, intelligence, and discretion. Acting as a trusted extension of the CEO, this person will manage sensitive matters, orchestrate key workflows, prepare communications, and anticipate leadership needs with a high degree of professionalism. They will also coordinate and support company-wide and departmental Town Hall meetings, including content preparation for CEO presentations. Additionally, they will manage inbound public relations and media inquiries related to the Mirlin platform, ensuring messaging is timely, accurate, and aligned with strategic priorities. Equally important, this person will serve as Executive Assistant to the SVP of Sales, providing structured support, streamlining commercial operations, coordinating sales reporting, and helping the sales organization run with precision and focus. This is a dotted-line role to the SVP of Sales, ensuring dedicated administrative, analytical, and operational support required to drive revenue growth. The ideal candidate is proactive, adaptable, and intellectually strong, capable of handling confidential initiatives, improving processes, managing communications, and enabling decision-making at the highest levels. They must communicate effectively, think critically, and thrive in a dynamic environment where priorities shift quickly and impact is measured by execution, clarity, and outcomes. KEY RESPONSIBILITIES EA Support for CEO and SVP Sales - managing calendars, communications, meeting preparations, and follow-ups. Meeting & Communication Coordination - Plan and manage company-wide and departmental Town Halls, including preparation of CEO materials, agendas, and presentations. Media & Public Relations Handling - Respond to inbound media inquiries about the Mirlin platform, coordinating with internal teams to ensure timely, accurate responses. Executive Briefings & Insights - Prepare concise executive summaries, dashboards, and briefing notes to support leadership decisions. Stakeholder Liaison - Act as a key point of contact for board members, investors, and external partners on behalf of the CEO and SVP Sales. Special Projects & Strategic Initiatives - Take ownership of ad-hoc, high-impact projects that support executive or sales priorities. Sales Operations Support - Maintain CRM accuracy, support forecasting, and coordinate sales pipeline reporting and analytics. Project Coordination - Support cross-functional initiatives, track milestones, and facilitate communication across leadership, product, sales, and operations teams. Sales Process Optimization - Identify inefficiencies in workflows and reporting, propose process improvements, and help implement solutions. Technology & Tools Administration - Administer and optimize productivity tools (Salesforce, HubSpot, Microsoft 365, Asana, Slack) to improve automation and reporting. REQUIRED SKILLS Proficiency with CRM platforms (Salesforce, HubSpot) and sales performance dashboards. Advanced use of productivity and collaboration tools (Microsoft 365, Teams, Slack, Asana, Notion). Experience with sales reporting and analytics, including pipeline and forecasting metrics. Strong digital literacy; quick to adopt and manage new tools and workflows. Ability to prepare and manage confidential board, investor, media, and strategic documentation. Exceptional organizational skills with sharp attention to detail. High emotional intelligence, discretion, and professionalism with sensitive information. Excellent written and verbal communication skills. Proactive and anticipatory approach — able to “see around corners”. Strategic thinker with strong business judgment. Strong interpersonal skills and the ability to manage relationships across all levels. Calm and adaptable under pressure in a dynamic environment. Self-starter who can operate independently and execute with minimal direction. Discretion and Confidentiality – Proven track record of handling sensitive information and executive-level communications with absolute professionalism, judgment, and trust. QUALIFICATIONS Experience in Executive Support – Minimum of 5+ years supporting senior executives (C-suite or VP-level) in a fast-paced business, preferably in a SaaS, technology, or high-growth company environment. Sales Operations or Commercial Support Background – Proven experience supporting sales teams or leadership with CRM management, pipeline reporting, forecasting, or sales process coordination. Strong Business and Technical Acumen – Ability to understand SaaS business models, key metrics, and revenue operations while quickly mastering internal tools, systems, and workflows. Exceptional Communication Skills – Demonstrated excellence in written, verbal, and presentation communication, including drafting executive-level correspondence and preparing meeting materials. Advanced Organizational and Project Management Skills – Highly organized, with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously and with precision. Proficiency with Productivity and CRM Tools – Deep working knowledge of platforms such as Salesforce or HubSpot, Microsoft 365, Teams, Slack, Asana, or similar business collaboration and reporting tools. Analytical and Problem-Solving Capability – Ability to interpret data, generate insights, and support decision-making with well-structured briefings, dashboards, and summaries. Event and Communication Coordination Experience – Experience planning and executing executive meetings, Town Halls, board sessions, and media responses, including preparation of presentations and talking points.
