Overview Office Manager – Long Term Care at Sienna Senior Living. Our commitment to enhancing the daily lives of residents extends beyond clinical care. Leaders and their teams oversee functions such as culinary services, housekeeping, recreation, maintenance and administrative operations. This role supports our purpose-driven culture focused on cultivating happiness in daily life. We are seeking an exceptional individual to fill a key management position responsible for day-to-day administrative functions and processes at a Long Term Care Community or Retirement Residence. The Office Manager creates an enriching experience for Team Members and Residents, and oversees Resident Accounts, accounting procedures, payroll submissions, and other administrative functions. What You Will Be Doing Facilitate move-in and discharge processes for residents and families, ensuring contracts and power of attorney documents are completed in compliance with organizational and legal standards Handle processing of annual rent and additional charges to residents’ accounts Generate billing for residents and manage reconciliation of invoices, payments, and tax documents Assist residents in exploring financial assistance options, including access to power of attorney and public guardian trustee services, and updating health card and provincial documents Address and resolve financial inquiries from residents, families, and vendors, escalating complex issues to higher management as needed Maintain precise records, provide monthly reports, and explain discrepancies in accounts receivable and payable Oversee petty cash system and a trust fund for petty cash disbursements Create and manage Purchase Orders and maintain purchase journals Compile and submit bi-weekly payroll reports for timely payroll processing Who You Are Diploma in Business Administration, Accounting, or related discipline Highly skilled in MS Office (Outlook, Excel, Word) with a good understanding of HRIS, Yardi, and PCC systems Exceptional organizational skills with meticulous attention to detail and deadline management Robust problem-solving abilities Well-versed in payroll processes, time and attendance systems, and HR practices Knowledgeable about collective agreements and employment legislation related to pay Previous experience in a healthcare environment is beneficial What You Need To Know Sienna Senior Living is committed to creating an inclusive environment where all team members and residents belong.
