**Job Description/Expectations**

**General**:
The medical office assistant/secretary is responsible for the overall office administration, ensuring that matters are carried out in a professional and courteous manner in servicing the needs of the patients and those of the medical practitioner(s). At all times, strict patient confidentiality is upheld.

**Major Responsibilities**:
Booking patient appointments appropriately to ensure the optimum use of the practitioner’s time

Confirming new referral appointments with patients and referring physician offices in a timely manner (within 2 weeks of receiving referral request as per CPSO guidelines)

Informing patients in a timely manner with regards to booked radiology appointments, referral appointments, etc.

Respond to patient messages or concerns in a timely manner and prioritize any urgent issues to the physician’s attention

Initiate and respond to general correspondence where appropriate

Confirm that all relevant Doctor contact information is updated in the patient record and EMR address book when patient checks in

Confirm Health card information is up to date

Ensure that all labs, ultrasound reports, relevant letters, pathology reports have been placed in the patients EMR prior to the patient visit

Document status of work on requested tasks in the EMR

Input patient demographic and billing information from hospital clinic sheets and inpatient cards within the billing cycle

Generate invoices for third party billings, appointment no show, rebooked appointments and prescription refill request as per office policies

Reconcile error reports within the same billing cycle

Once familiar with office procedures and policies work with mínimal supervision

Maintain competency with computer software associated with the efficient operation of the office

Must have strong verbal and written English language communication skills

Can empathize with patient concerns and assist with navigating healthcare system issues

Has excellent organizational and time management skills

Approaches patient concerns with professionalism always

Has Medical Office Administrator diploma-preferred but not required

Must be proficient in Accuro EMR

**Salary**: $19.00-$25.00 per hour

**Benefits**:

- Day shift
- Monday to Friday

Office staff must wear appropriate mask (provided) when in contact with patients and other staff.

Ability to commute/relocate:

- Toronto, ON: reliably commute or plan to relocate before starting work (required)

- Medical office: 2 years (preferred)
