Job Overview: The Office Administrator plays a critical role in ensuring the smooth operation of our brokerages. This position is responsible for managing front-end interactions, system management, administrative support, and conveyancing support, all while upholding our commitment to excellence in service and a positive office environment.

Key Responsibilities:

  • Service Excellence: Serve as the first point of contact for clients, agents, and colleagues, ensuring a high standard of service via in-person interactions, phone calls, and emails.
  • Office Administration: Manage day-to-day office operations, including greeting clients, opening/closing the office, maintaining tidiness, and handling general inquiries.
  • System Management: Oversee and maintain key office systems including Lonewolf, TransactionDesk, Matrix/Touchbase, Microsoft Office, and Slack.
  • Transaction Administration: Assist with transaction files, including document preparation, organization, and supporting conveyancing tasks.
  • Conveyancing Support: Manage the Cheque Pro system, liaise with the Head Conveyancer, and occasionally review contracts on Transaction Desk.
  • Office Management: Coordinate office calendars, manage IT/printing services, maintain office supplies, and ensure marketing materials and brochures are up to date.
  • Miscellaneous Tasks: Support agents with various tasks, manage lockbox and key inventories, and ensure the office environment is welcoming and well-maintained.

The Successful Applicant Will Have:

  • 2+ years of experience as an office admin, real estate assistant, or other relevant role.
  • Outstanding communication and interpersonal skills.
  • Knowledge and comfort with multi-line phone systems.
  • Ability to multi-task and work in a high-volume, high-traffic office space.
  • Excellent organizational skills.
  • Proficiency in MS Office, Excel, and Outlook.
  • A team mentality and the ability to take initiative.
  • A positive attitude and a willingness to learn.
  • Knowledge of Matrix, Lonewolf, and Maximizer software systems is an asset.

Qualifications:

  • Experience: Proven experience in an administrative or office management role, ideally within the real estate industry.
  • Skills: Strong organizational skills, attention to detail, and proficiency in relevant software and office systems.
  • Attributes: Professional demeanor, excellent communication skills, and a commitment to creating a positive team environment.
