The Role:

PBS is looking to hire an Office Administration Clerk for our Milton, Ontario office to join the administration team assisting with their day-to-day tasks and projects. The Office Administration Clerk assists and supports the Manager – Accounting Corporate, as well as the Corporate Travel team and will be involved in building & facilities administration, shipping & receiving, accounting and corporate travel arrangements.

This position is based in our Milton, ON office and is NOT a remote or Hybrid opportunity.

Duties and Responsibilities

Accounting Responsibilities

  • Manage and reconcile external and internal hardware inventory monthly.
  • Preparation and posting of journal entries.
  • Assist Collections Clerk to ensure accurate collections processes and accurate records of customer interactions and transactions.
  • Assist team to reconcile customer accounts and resolve discrepancies.

Building Admin Responsibilities

  • Manage all incoming/outgoing shipments for the Milton Office
  • General upkeep of the office (refill stock when needed; tidy areas when needed, etc.)
  • Set-up workstations for new hires (i.e., name plates, stationery, etc.)

Travel Responsibilities

  • Assist and support the Corporate Travel and Office Administrator
  • Send credit card authorization forms to hotels.
  • Daily/Weekly receipt collection for travel booked by Corporate Travel & Office Administrator
  • Prepare all border crossing documents.

Qualifications

  • Experience in entry level accounting and tracking of financial transactions.
  • Previous experience with accounting and administrative duties in an office setting preferred.
  • Attention to detail with a high degree of accuracy.
  • Must be proficient with Microsoft Office 365, especially Microsoft Excel
  • Excellent organization, and time management skills
  • Ability to multitask and prioritize tasks effectively.
  • Good verbal and written communication skills
  • Willingness and ability to keep up to date with evolving technology.
  • Ability to keep personal information about employees and others confidential.
