**Job Type**: Part-Time 20 hours, potential to move to Full-Time

The Therapy Collective is a dynamic and compassionate mental health practice dedicated to providing high-quality care to our clients. We specialize in various therapeutic modalities, including CBT, DBT, trauma-informed therapy, EMDR, Emotion-Focused Therapy, and the Gottman Method for couples therapy. We also offer parent coaching and consultation. Our mission is to foster a supportive environment where both clients and staff can thrive.

Position Overview:
Key Responsibilities:
Front Desk Management:

- Greet clients and visitors with a warm and professional demeanor.
- Answer and direct phone calls, taking messages as necessary.
- Manage appointment scheduling and confirmations.

Administrative Support:

- Maintain accurate client records and ensure confidentiality.
- Assist therapists with administrative tasks and documentation.

Billing and Payments:

- Process client payments and manage billing inquiries.
- Coordinate with insurance companies for claim submissions and follow-ups.
- Maintain accurate financial records and prepare reports.

Office Coordination:

- Order and manage office supplies.
- Ensure the office is clean, organized, and presentable at all times.
- Coordinate maintenance and repair of office equipment.

Communication and Collaboration:

- Facilitate communication between therapists, clients, and external parties.
- Assist in organizing meetings, trainings, and events.
- Support the practice’s marketing efforts by managing social media/website/newsletter.

Qualifications:

- Proven experience as an Office Administrator, Administrative Assistant, or relevant role.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with graphic marketing; Instagram, Mailchimp, Wordpress, Canva knowledge is an asset
- Experience with electronic health records (EHR) systems is a plus.
- Knowledge of billing procedures and insurance processes is preferred.
- High school diploma or equivalent; additional qualifications in office administration are a plus.

Pay: $19.10-$27.87 per hour

Expected hours: 20 per week
