TITLE: Administrative Assistant – Bone Health

TERM: Casual position; one year term (renewable)

CHEO RI has an immediate requirement for an Administrative Assistant.

We are seeking a highly motivated Administrative Assistant to support the Bone Health team to assist with scheduling patient appointments; preparing patient charts; maintaining patient lists; and performing other clerical tasks.

MAIN RESPONSIBILITIES

  • Schedule New patients from workqueus according to priority and wait times
  • Contact New Consult patients to coordinate investigations pre visit.
  • Schedule and confirm follow up appointments from recall lists
  • Communicate with clinical team through Inbasket
  • Schedule interpreters for families as required
  • In consultation with clinical staff , implement visit cancellation and rebooking,
  • Responsible for patient/family direction and public relations
  • Communicate by telephone and telephone messaging within CHEO established policies/procedures
  • Create new patient profiles in EPIC
  • Open clinic templates in EPIC
  • Prepare clinic charts with labels.
  • Pull clinic files before each clinic and prepare clinic charts.
  • Transfer medical information for adult case referrals and other types of referrals.
  • Maintain filing of clinic charts and dictations. Locate old charts as appropriate.
  • Perform work in accordance with the provisions of the Occupational Health and Safety Act and Regulations and all CHEO corporate/departmental policies and procedures related to Occupational Health and Safety.
  • Perform work in accordance to CHEO privacy and confidentiality policies
  • Perform other related duties as assigned by supervisor.

QUALIFICATIONS

  • Police Record Check (PRC) (Essential)
  • Secondary School Graduation Diploma (Essential)
  • Bilingualism (English/French) (Essential)
  • Approximately 6 months of related experience (Preferred)
  • Knowledge of computer software (Epic, Excel, Outlook) (Essential)
  • Experience working in a clinical environment live on Epic Ambulatory (Preferred)
  • Experience in patient registration using Cadence (Epic) (Preferred)
  • Experience in creating, editing, scanning and scheduling referrals (Preferred)
  • Experience using inbasket communication in Epic (Preferred)
  • Ability to ensure timely completion of tasks by adjusting priorities as required (Essential)
  • Ability to adapt to changes to meet organizational requirements (Essential)
  • Communicate effectively and concisely, both orally and in writing (Essential)

WORKING CONDITIONS

  • Work in a clinical environment at the hospital; in contact with children and their parents and/or caregivers
  • On-site work 1 day in every two weeks.

  • Eligible to work in Canada

L'IR de CHEO a immédiatement besoin d’un Adjoint administratif.

Nous recherchons un adjoint administratif très motivé pour soutenir l’équipe de Santé osseuse avec organiser les rendez-vous des patients; préparer les dossiers des patients; maintenir les listes de patients à jour; et accomplit d’autres tâches administratives.

RESPONSABILITÉS PRINCIPALES

  • Mettre les nouveaux patients à l’horaire selon les priorités et temps d’attente.
  • Contacter les patients pour nouvelle consultation afin coordonner les tests nécessaires avant le rendez-vous.
  • Céduler et confirmer les rendez-vous de suivi à partir des listes de rappel.
  • Communiquer avec l’équipe clinique par le biais d’EPIC
  • Céduler les interprètes pour les familles selon les besoins.
  • Changer des dates de rendez‑vous après avoir consulté le personnel clinique.
  • Orienter les patients et leurs familles et assurer les relations publiques.
  • Communiquer par téléphone et transmettre les messages téléphoniques selon les politiques et les processus du CHEO.
  • Créer le profil des nouveaux patients dans Epic.
  • Ouvrir les dates de cliniques dans EPIC.
  • Préparer les dossiers des patients en les étiquetant.
  • Sortir les dossiers avant chaque clinique et préparer les dossiers pour la clinique.
  • Transférer les renseignements médicaux pour le transfère aux soins pour adutes et autres types de transfère.
  • Ranger les dossiers cliniques et insèrer les notes du medecin. Ranger les dossiers non actif.
  • Accomplir le travail conformément à la Loi sur la santé et la sécurité au travail et à son Règlement ainsi qu’à toutes les politiques et procédures du CHEO et de ses services en matière de santé et de sécurité au travail.
