Job Overview

The Confidential Assistant is a key member of the Finance department at Kwantlen Polytechnic University, providing administrative support to the Chief Financial Officer and other senior leaders. This role is responsible for ensuring the effective and efficient achievement of departmental objectives, while maintaining confidentiality and discretion in handling sensitive information.

Key Responsibilities
  • Provide administrative support to senior leaders, including preparing reports, managing budgets, and coordinating events.
  • Develop and maintain departmental budgets, ensuring accuracy and compliance with university policies.
  • Manage internal and external communications, including preparing correspondence and presentations.
  • Coordinate travel arrangements and other logistical tasks as required.
  • Exercise sound judgment and discretion in handling confidential and sensitive information.
Requirements
  • Bachelor's degree and three or more years of administrative experience supporting senior-level management.
  • Two years' experience in budget development and management, with a strong understanding of financial policies and procedures.
  • Two years' experience in event planning and coordination, with a focus on customer service and attention to detail.
  • Or an equivalent combination of education, training, and experience.

  • Demonstrated tact and discretion in handling confidential and sensitive information.
  • Demonstrated strong interpersonal and report-writing skills, with the ability to provide effective administrative support at the executive level.
  • Demonstrated ability to exercise sound judgment, discretion, and confidentiality.
  • Demonstrated ability to use related software, including word processing, spreadsheet, and database applications.
  • Outstanding organizational skills and ability to prioritize workload and work under time pressures to meet deadlines.
