Confidential Assistant, Financial Services

Join our team at Kwantlen Polytechnic University as a Confidential Assistant in the Financial Services department. This is an exciting opportunity to provide administrative support to senior leaders and contribute to the success of our institution.

Job Overview:

The Confidential Assistant will provide administrative support to the Chief Financial Officer and other leaders within the Finance department. This role requires a high degree of discretion and confidentiality in handling sensitive information and supporting departmental planning and budgeting.

Key Responsibilities:

  • Provide administrative support to senior leaders, including preparing reports, managing internal and external communications, and coordinating events.
  • Support departmental planning and budgeting, including preparing and maintaining department budgets and financial reports.
  • Manage confidential and sensitive information with discretion and tact.
  • Develop and maintain effective relationships with internal and external stakeholders.
  • Use related software, including word processing, MS Office applications, and Human Resource Information Systems.

Requirements:

  • Bachelor's degree and three or more years of administrative experience supporting senior level management.
  • Two years' experience supporting the development and maintenance of department budgets and preparing related reports.
  • Two years' experience with managing internal and external communications and event planning and coordination in an institutional or corporate environment.
  • Or an equivalent combination of education, training, and experience.

Competencies:

  • Effective management of a complex office or business with a customer service focus.
  • Tact and discretion in handling confidential and sensitive information.
  • Strong interpersonal and report writing skills to provide effective administrative support at the executive level.
  • Ability to exercise sound judgment, discretion, and maintain a high degree of confidentiality.
  • Intermediate proficiency with MS Office applications, internet browsers, and Human Resource Information Systems.
