Shared Health leads the planning and coordinates the integration of patient- centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

Position Overview

The incumbent is an essential resource to the Provincial Spine Assessment Clinic (PSAC) and provides effective management of both the PSAC wait list and clinic flow with a focus on receiving and transferring client information in order to access surgical spine assessment and community-based services throughout the province. This will be accomplished in accordance with relevant legislation, regulations, and regional policies and standards. The Program Team Administrative Assistant will work closely with the Program Director, Manager, Physiotherapy Clinicians, Spine Surgeons, Spine Surgical Office Assistants, Primary Care Providers and Pain Clinic to ensure patient-centered care is provided. This position will receive confidential client information (including consultation referrals, imaging, etc.), will accurately enter client information and will forward relevant client information to receiving services in a timely manner to efficiently progress clients through the system and facilitate their access to appropriate services.

Experience
  • A minimum of two years of experience providing administrative/secretarial support preferred.
  • Experience working with SAP and ESP computerized systems an asset.
  • Experience scheduling and coordinating meetings using Outlook, TeleHealth, and Microsoft Teams is preferred.
  • Experience preparing financial reports, timekeeping and scheduling would be an asset.
  • Experience with EPR Scheduling preferred.
  • Experience working with confidential client information an asset.
  • Experience working under pressure and performing a wide range of duties that may require independent action.
  • Experience working effectively as part of a team.
  • Direct experience in clinical health care settings preferred.
Education (Degree/Diploma/Certificate)
  • Successful completion of secondary school, according to provincial standards of equivalency.
  • Successful completion of administrative secretarial course and/or equivalent work experience.

SPECIAL TRAINING:

  • Minimum typing requirement of 50 WPM.
  • Completion of Medical Terminology preferred.
  • Proficiency in Microsoft Office including Excel, Word, Outlook, and Access preferred.

  • Strong oral and written communication skills.
  • Ability to record and prepare meeting minutes and agendas.
  • Demonstrated problem-solving skills.
  • Ability to accurately transcribe and enter client data into a database.
  • Excellent organizational skills.
  • Knowledge of the Manitoba health care system would be an asset.
  • Ability to interact effectively with all levels of management, professional and medical staff, as well as patients and families.
  • Ability to meet varied and unexpected demands in an environment with numerous interruptions.
