The Colchester East Hants Health Centre is a non-unionized, registered charitable organization that takes a leadership role in raising funds to continually enhance patient care for patients of the Colchester East Hants Health Centre in Truro. The Foundation is seeking a full-time Development Assistant to complement its professional development team.

Reporting directly to the Executive Director, the purpose of this position is to deliver, through a broad range of duties, efficient administrative and fund development support that will enable the development team to focus strategically in donor, sponsor and volunteer relationships.

The Position

The Development Assistant is responsible for maintaining office systems; managing information; document/word processing; issuing tax receipts, working directly with donors, sponsors and volunteers; and assisting with fundraising programs, special events and general office duties.

Administrative

  • Prepartion and dissemination of monthly board meeting materials to members;
  • Attends and serves as recording secretary at monthly board meetings;
  • Manages a complete database of donor records (all donations, pledges and pledge payments must be entered within 48 hours of recieving such gifts);
  • Prepare, arrange for signature and mail thank you letters and tax receipts for all gifts to the Foundation within 48 hours of revieving such gifts;
  • Respnsibloe for the tribute giving program, including memorial notifications to families and memorial gift notfication next of kin monthly;
  • Support all fundraising activities, including on-site event support;
  • Fields and responds to inquiries from donors, volunteers, and the public;
  • Proactive administration support to the Foundation team, including drafting correspondence, research, preparing reports & presentations, solicitation packages, preparing and distributing meeting agendas and taking minutes, prepares, pulls and reviews donor and financial lists and manages unique requests;
  • Generation of team progress against goals reports;
  • Other duties as assigned by the Executive Director

Financial

  • Prepares and sends all sponsorship invoices to event sponsors using Simply Accounting;
  • Records all donations in Donor Perfect and provides appropriate information to the bookkeeper for entry into Simply Accouting;
  • Reconciles bank accounts monthly;
  • Reconciles credit card and eft payments monthly;
  • Ensures invoice payments are prepared for the Executive Directors review and approval;
  • Prepares for all event financial needs

Qualifications

  • Education; Diploma from a recognized business administration/ administrative professional program;
  • Experience: Prior administrative experiences with a demonstrated ability with dealing with the public. Experience in dealing with donors preferred;
  • Advanced knowledge of MS Office (Word, Excel, PowerPoint, Publisher, Oulook);
  • Advanced knowledge of Simply Accounting;
  • Excellent database skills that can transfer to use of Donor Perfect software;
  • Ability to work competenly, cooperatively, efficiently, and independently as well as the ability to work as part of a small team;
  • High ethical standards and the ability to maintain confidentiality;
  • Familiarity with CRA (Canada Revenue Agency) regulations and receipting guidlines an asset;
  • Valid Nova Scotia driver's license
