Job Summary:The Contracts Coordinator will be responsible for maintaining various contract department records, providing general support to Contract Specialists, Business Unit Leaders, and Program Managers, and ensuring the commercial interests of the company are served and protected.
Key Responsibilities:- Contract Administration:
- Clarify customer requirements and ensure proposals are responsive
- Initiate quotation requests describing estimate and proposal requirements
- Prepare cost proposals, review support packages, and technical proposals, and make submissions to customers
- Review contracts for correctness and conformance to negotiated terms and conditions, and arrange for formal company acceptance
- Close out programs on completion of all contractual obligations
- Contract Support:
- Prepare, issue, and maintain sales orders
- Ensure proper documentation and authorization for all contract deliverables
- Ensure return of customer-furnished equipment, material, or data, and records are archived for subsequent program audit activities
- Provide systems reports as required
- Manage agreements database and prepare and manage non-disclosure agreements
- Work with Legal on various agreements
- Support Finance and issuance of invoicing
- Support bookings reporting
- Business Development and Proposal Activities:
- Manage the Proposal Approval Form database
- Maintain project bid and proposal files
- Maintain teaming, license, representation, non-disclosure, and proprietary information agreements
- Award and contract summary memorandum and distribute as necessary
- Possession of a diploma or degree in business administration or related field of study from a recognized post-secondary institution or equivalent years of experience
- A minimum of two (2) years of relatable experience
- Training in government contract administration or equivalent on-the-job experience
- Some knowledge of government/defense procurement policy and contracting principles
- Proficiency in PC tools (MS Office, email, internet searches, material resource planning systems)
- Deltek Costpoint experience preferred
- Ability to efficiently organize and maintain complex contractual files
- Excellent verbal, written, and presentation skills
- Effective team player with highly developed interpersonal skills and ability to interface well with people of different disciplines and levels
