Coordinator, Office, Toronto, ON

Contract: July September 2025

The Coordinator, Office provides support to the Senior Vice President (SVP), Office and the larger Office team. Working closely with the SVP and other members of the National Office team, the Coordinator demonstrates a strong ability to be organized and professional and plays a vital role in ensuring a high level of communication within the Office team on behalf of the SVP, Office.

Responsibilities

  • Providing direct administrative support to the Senior Vice President, Office and other members of the Office team.
  • Maintaining the SVP's calendar, including scheduling meetings and conference calls, preparation of meeting materials and related tasks.
  • Assist in the preparation of presentations, memorandums, correspondence and reports on behalf of the SVP by identifying required information, researching background information, and gathering it from appropriate sources.
  • Coordination of travel arrangements for the SVP and other team members as required, including preparation and submitting of expenses. Documentation and management of meeting outcomes.
  • Liaise with the Office team and external agencies on key and emerging priorities.
  • Plan events and large meetings, including appropriate layout of rooms, seating arrangements, dinner menus, invitations, etc.
  • Attend, minute and distribute materials for scheduled management meetings.
  • Read and understand leases to support the SVP and other team members in responding to tenant questions.
  • Coding invoices, expense reports, and corporate credit card expenses.
  • Establish a consistent approach to parking operations. Review parking reports on national level and consolidate parking numbers monthly in parking report.
Qualifications
  • Minimum 5 years administrative experience in the real estate field - ideally, in commercial portfolios, with a focus on Class A office properties.
  • Ability to use initiative and self-managing skills to work independently with minimal direction and respond effectively to issues that arise.
  • Ability to effectively collaborate with all levels of the business and develop / sustain cooperative working relationships with internal staff, vendors and external contacts. Adapt to different communication styles.
