Reporting to the Event Manager, the Fredericton Chamber of Commerce's Event Assistant will be a critical member of the team working in a collaborative environment. The position will provide direct support for planning, executing and following-up on the Chamber's slate of events. Communication skills and professionalism will be critical as the successful candidate will work directly with the Chamber's staff, board of directors, members, sponsors and other stakeholders.

Key Job Responsibilities include, but are not limited to:

  • Registration for chamber events
    • Using the chamber's CRM, set up registration page including fees, sponsors, images, etc
    • Monitor and assist members with registration & invoicing
    • Compile and print name tags for events
    • Print registration/attendance list for events
    • Post-event: update attendance and invoicing
  • Major events
    • Create seating charts
    • Manage creation & distribution of tickets
  • Sponsorship
    • Update sponsors history list
    • Continue updating the history list with past events (research old files)
    • Track sponsor anniversaries and recognition
  • Social media
    • Create social media posts for events
    • Create social media posts for sponsors
  • Eblasts & newsletters
    • Create events listings for Chamber newsletter
    • Assist with monthly event newsletter
    • Conduct polls/surveys for continuous event improvement / innovation
    • Create and schedule eblasts for major events
    • Add events to the third-party event calendars
  • On-Site at events
    • Assist with set up and tear down of events
    • Assist with registration, bar, etc. as applicable for events
    • Assist with logistics for the events - task lists, scheduling volunteers, etc
    • Assist with securing door prizes and swag bags.
  • As-needed projects such as improving the look and feel of registration pages, researching options for ticketing and seating charts, etc.
  • Other duties as required or apparent

Qualifications:

  • 1+ years of experience in event planning or project management
  • Experience with ticketing software and CRM software
  • Proficient in Microsoft Office software, including Outlook, Excel, and Sharepoint
  • Experience with Canva or similar graphic design tool
  • Experience using MacBook
  • Possess general office administrative and customer service skills
  • Committee and sponsorship experience
  • Highly organized with strong time management skills
  • Flexibility to work occasional evenings and weekends based on event needs
  • Excellent verbal and written communication skills
  • Fluent English skills required, and written and spoken competence in French is considered an asset
  • Drivers' license would be considered an asset

Hours and Compensation:

  • This is a part-time position for 15 hours per week, scheduling of hours is negotiable - ex: 3 hours per day for 5 days per week or 5 hours per day for 3 days per week. Some flexibility will be required based on the Chamber's event schedule.
  • $20.00 to $25.00 per hour, based on experience and qualifications.
